Spring Trip 12-13
May 2-5, 2013
It’s time to think about our choir trip in the Spring. This year we will be traveling to Corpus Christi to relax and have fun in the sun! We will be traveling by bus, leaving on Thursday, May 2nd and returning in the evening on Sunday, May 5th. We will be staying at the Port Royal Condominiums in Port Aransas. The students will be staying in 2 bedroom condos, 4 students and one adult chaperone per condo. When we arrive in Corpus we will stop and grocery shop for the entire weekend. In the past our students have had so much fun cooking for themselves and each other. Once we get to the condo we will just spend the next two days relaxing on the beach or by the pool. This is a wonderful trip. It doesn’t have the stress, cost and exhaustion of a trip out of state. This trip is open to all of our students. In addition we will need many chaperones. I hope you will consider going with us. As an extra incentive, chaperones go FREE! We are always in special need of dads. If you are interested, please fill out the attached chaperone form. The total cost of the trip is $475.00, payable in 5 installments. If we are able to travel on only one bus OR fill up two busses the cost will drop as much as $50. I will know more once we have completed sign up. Enrollment is first come, first serve. We will begin accepting forms and non refundable deposits on Friday, October 19th. A student will be confirmed for the trip when a room of 4 is confirmed. This is to ensure we have full rooms and keep our cost down. Your deposit becomes NON REFUNDABLE once your room is confirmed. This rule is for confirmation only. Each student will be able to pick their own roommates at a later date. PLEASE LOOK CAREFULLY AT MONEY DUE DATES AND NON REFUNDABLE DATES. No pass no play is in effect for this trip. There are 3 levels to the refund policy. The initial $75 is non refundable. On Febuary 15th, $275.00 becomes non refundable. On March 28th, the entire amount of the trip is non refundable. If you have not formally dropped by this date, you become responsible for the entire amount. If a student becomes ineligible for any reason after the March 28th date no money will be refunded. Please stay on top of your grades! Attached is a commitment letter, please fill it out and turn it in along with your $75.00 NON REFUNDABLE DEPOSET beginning on Friday, October 19th. We are limited to a roster of 80 students. If you have any questions, please do not hesitate to contact us. Please note that there is a mandatory student/parent meeting before the trip on Tuesday, April 23rd, more information will follow.

Corpus Chaperone Volunteer Form and Information!
We hope you will consider joining us as a chaperone for our trip to Corpus, May 2-5. This is a great trip where chaperones go free! You will stay in a 2-bedroom condo with 4 kids. We cannot fill a room with kids if we do not have a chaperone, so we appreciate very much you considering joining us. If you are interested please fill out the information below and return with your student’s commitment sheet on Friday, October 19th. Unfortunately, we have a limited number of slots. I will contact all chaperones to let them know that they have been selected to go. Once you have been selected to go, it is really very important that you honor this commitment. We MUST have an adult chaperone for each room. Please remember that all chaperones must have a background check cleared before the trip. You can go to the McKinney website to register. No Pass No Play:
We are governed by Texas UIL No Pass No Play. This means that if a student is failing at the 9 weeks report they loose the ability to participate in such things as this trip. The 3rd 9 weeks (3-22-12) will determine eligibility for trip. However, if a student is failing at the 9 weeks they will have the ability to regain eligibility at the 1st 3 weeks report (4-12-12). Please note that this gives time for you to drop and receive a partial refund. IN ORDER TO REGAIN A STUDENT MUST HAVE ABOVE A 70 IN EVERY CLASS THEY ARE ENROLLED IN BY 2:30PM ON THE ABOVE STATED DATES. If you are passing at the end of the 3rd 9 weeks (3-22-12) you are eligible to go on the trip and cannot lose eligibility. Again, please make yourself familiar with refund deadlines and policies/procedures.
REFUND POLICY:
The first $75.00 is NON REFUNDABLE for any reason. I will not deposit your check until you are ‘guaranteed’ a room (see letter for more information on ‘guaranteeing a room’).
On February 15, 2012, $275 becomes non-refundable.
On March 28, 2012, the entire amount becomes non refundable.

Unfortunately I cannot guarantee everyone that signs up will be called upon to chaperone. You will be contacted by email or phone if you are selected to chaperone.

I acknowledge that the initial $75.00 of my trip is NON- REFUNDABLE under any circumstance. I understand that on February 15th, 2012, $275.00 becomes NON REFUNDABLE for any reason. I understand that on Thursday, March 28th, the entire amount becomes non refundable. I understand I will not receive this money back if I become ineligible, if I am dismissed from the choir program or for any reason choose not to participate or am unable to participate in the trip. I understand that all cancellations should be in writing and delivered by the deadline previously stated. Upon receipt of a written cancellation a written acknowledgement will be given to the student as well as mailed/emailed to the parent/guardian. I understand that retention of these funds is necessary to meet any cancellation penalties and help defray additional costs to others incurred by my withdrawal from the trip. I will keep informed of all money due dates and will to the best of my ability meet all payments on the dates assigned. I understand that spots for the trip will be granted on a first come first serve basis. I understand that no spot will be guaranteed until a room is filled (4 to a room).
