POSITION DESCRIPTION
Position Title: Project Coordinator
Functional Area: Business Operations
Location: Head Office or Project Site
Employment Type: Permanent or minimum 6 months contract / Hours: Full Time
Primary Objective
Coordinate delivery of large and diversified projects to ensure that project activities through the lifecycle of the project are planned, organised and delivered. Ensure to adopt appropriate construction methods and assign resources to deliver the works within budget, time, quality and regulatory standards.

Key Working Relationships
This position reports directly to the Operations Manager for autonomously managed projects or could report to a Project Manager for larger projects.

Function / Sub-function / Key Responsibilities

  • Report all incidents (incident investigation reports).
  • Review and amend work methods to eliminate risks.
  • Undertake personal site safety audits and inspections as may be required by the Site management team.
  • Ensure that the Project Safety Management Plan is produced and implemented

Quality and Environment Standards /
  • Ensure that a Project Quality Management Plan and Project Environment Management Plan is produced and implemented.
  • Schedule works, stay in timeframe and advise direct report of any delays or Capacity issues.
  • Provide leadership and guidance to the team in your area of expertise to prevent, identify, report, investigate and resolve all issues.
  • Assist in preparing written procedures and documentation that contribute to the continuous improvement process for GCo MS.
  • Ensure appropriate and accurate documents and records are recorded and filed.
  • Compliance with statutory, contractual and company environmental requirements.
  • Assist in Implementation of quality and environmental policies and procedures where required.
  • Management of NCR’s corrective and preventative actions.
  • High Levels of compliance customer/client satisfaction.
  • Ensure compliance of the works with statutory obligations, standards, codes of practice, relevant technical guidelines and project specification.

Technical Standards /
  • Technically competent within the Electrical occupation and has good knowledge of contemporary practices in construction methodology.
  • Competent in managing teams, coordinating and scheduling works and finances.
  • Ability to read drawings and schemes
  • Applied Electrical Compliance knowledge.
  • Financial management skills including demonstrated behaviour in reducing costs, meeting budgets
  • Develop thorough knowledge of GCo Management System and project procedures.
  • Develop and use suitable and safe construction methods.
  • Manage technical queries from field to technical support.
  • Understand and interpret specifications, technical report, standards and plans.
  • Communicate technical information clearly and concisely.

  • Maintain and develop electrical knowledge and skills.
  • Proactively review and solve TQ’s where possible and refer upwards where specialist knowledge or Customer direction may be required.

Cost management /
  • Operate within the approved budget.
  • Oversee the review of progress and cost outcomes and ensure that early, appropriate and effective actions are taken as a result of reviews to ensure project commercial outcomes are met.
  • Ensure that project staff maintain a record of costs during the month and that accruals are accurate.
  • Monitor field production progress quantities against budget and forecast final costs per item.
  • Set cost benchmarking report requirements at project set up and maintain a record of performance against cost benchmarks
  • Monitor and report on project delivery costs and develop strategies and recommendations for recovery actions in the event of overruns.
  • Quantification of work completed for productivity, progress claims, variations and reporting Management of variations, preparation of quotations for variations, identify potential variations and execute work to minimise costs (timely supply of reports/information to PCM).
  • Manage cost centres on a job
  • Preparation of RFT documents for subcontracts, professional services, plant hire and purchasing.
  • Raise Purchase Orders when required and ensure costs are allocated to the correct job and dissection code.

Contract Management /
  • Ability to understand variety of contracts on different levels for projects and relevant to the role (head contract, subcontract).
  • Identification of contract requirements and client procedures.
  • Identify where change is instructed, or occurs without an instruction, that would constitute a Variation or Change of Scope under the Head Contract.
  • Prepare contractual correspondence regarding Variation and submit to the Client.

Risk Management /
  • Risk identification and management.
  • Application of hierarchy of risk controls (completion of risk assessments).
  • Implementation of risk management process and mitigation (regular risk review).
  • Oversee the audit of Project Plans and systems to determine the level of compliance that supports risk & opportunity management and ensure corrective action as required
  • Ensure the Risk Register is set up and maintained for each project and that its current status is reported at the monthly Project Reviews.

Planning and Programming /
  • Set productivity target for delivery teams.
  • Ensure construction work is planned and effectively managed to prevent or minimise risks.
  • Preparation, monitoring and updating short term production plans (separable portion dates achieved).
  • Resource balance – labour, equipment and subcontractors (subcontract feedback).
  • Planning of materials, equipment and plant including long lead items (project performance respect to program).
  • Preparation of weekly and monthly future programs (look-ahead program).
  • Review progress to ensure achievement of set targets.

Field and Team Management, Employee Relations /
  • Ensure all relevant management plans are effectively implemented at project level.
  • Assist and supportEmployees in execution of the correct procedure/action required.
  • Create a positive work environment and promote good employee relations
  • Ensure that direct reports have a clear understanding of their role purpose and accountabilities, supported by a current position description and aligned with the Project objectives.
  • Ensure all construction targets and programs are met and take corrective actions to ensure that the project milestones are achieved.
  • Lead and participate in performance review and development of direct and functional reports, measure progress against objectives and provide regular feedback
  • Monitor staff and labour resourcing to ensure Project capability to achieve targets.
  • Mentor developing talent across the project and provide the benefit of own knowledge and experience to others.
  • Coach and mentor the development of the project team members.

Completion, Hand Over and Close Out /
  • Ensure that a Project Completion Plan is initiated at project start.
  • Ensure that completion of the works is carried out so that there are no residual defects after Practical Completion.
  • Manage the Defects Liability Period and ensure that securities are returned promptly at the end of the period.

  3. Electrical Workers License

  7. Working at Heights (current within 2 years) – desirable
  8. High Risk Work License (LF, EWP) – desirable
  9. Experience
  10. Demonstrated 3 – 5 years’ experience in the role of Project Coordinator or similar
  11. 10 years of demonstrated experience within the electrical field
  12. Experience with industrial and infrastructure projects
  13. Skills
  14. Good oral and inter-personal skills and ability to listen
  15. Mature disposition – particularly in response to potential conflict situations.
  16. Good written communication skills (legible writing – coherent in technical documents, reports and correspondence).
  17. Time management – prioritise work, meet targets/deadlines, discipline (meeting work and contractual commitments), on time reporting and construction.
  18. Problem solving – logical integrated approach (reasons thing through), generates alternative solutions, optimal solutions for technical problems (structured and coherent), anticipates and takes action.
  19. Ability to manage stress.
  20. High level of proficiency with MS Word, Excel, Outlook, Access and Project Professional (or similar).
  21. Basic understanding of computer networks and IT, open for development of knowledge as applied to the work place.
  22. Clear understanding of importance of record keeping (work diary kept).
  23. Ability to Work as a team.

  25. Competent in dealing with Client representatives and maintaining good communication levels without compromising GCo Electricals contractual rights and commercial position.
