AUSTRALIAN HIGH COMMISSION, SINGAPORE

The Australian High Commission - Singapore invites applications for the temporary vacancy of the position of Manager Visits/Events. The vacancy period is from November 2017 to May 2018. The duty statement and selection criteria are provided below.

Background

TheAustralian High Commission is the official representative of the Australian Government in Singapore. We provide a range of services to the general public, including consular, passport, visa and immigration, citizenship and cultural relations services. We also act on behalf of various Australian Government authorities by representing Australia's interests to local, regional and multilateral government and business organisations in Singapore.

Job Description/Duty Statement

Duties of the position will include but are not limited to the following:

·  Manage and provide logistical and administrative support for all official visits to Singapore, including arranging appointments, airport facilitation, managing arrangements for accommodation and protocol including liaising with the Ministry of Foreign Affairs (MFA) and other Singapore agencies.

·  Oversee and manage requests for official accommodation and travel, including for official visitors from Canberra and other posts.

·  Facilitate transits, including liaison with the MFA, airport VIP terminal and airlines for Ministers and high level visitors.

·  Prepare and circulate on a weekly basis the Post’s visit register and maintain statistics on all visits to Singapore.

·  Manage production of program documents and other visit material (daily programs, photo boards, floor plans etc) in conjunction with the Administration Section.

·  Develop and maintain a network of contacts with Singapore government agencies, key industry stakeholders and other diplomatic missions.

·  Provide program support for Head Of Mission (HOM), Deputy Head Of Mission (DHOM) and the Political and Economic Section.

·  Provide support for HOM including through coordination of events, functions and receptions, managing guest lists and invitations, provision of biodata (as appropriate) and liaison with the Official Residence staff and/or other venues.

·  Assist with media monitoring and research tasks.

·  Prepare short reports on a range of political, trade and economic issues.

·  Other duties as required/directed

Selection Criteria

It is expected that the successful applicant will fulfil the following criteria:

·  Strong experience in planning, coordinating and managing major programs/events.

·  Excellent attention to detail, sound judgement and ability to multi-task.

·  Ability to set priorities, meet deadlines and respond to challenges and perform well under pressure.

·  Ability to work independently using initiative and deal with competing priorities and also demonstrated ability to work productively as a member of a small team

·  Excellent analytical, communication and interpersonal skill. Superior communication in English, both orally and in writing;

·  Familiarity with Australian and Singapore Government agencies and/or private sector organisations is highly desirable;

Conditions of Appointment

Employment at the Australian High Commission is subject to the successful completion of an Australian national security clearance, and a medical clearance.

Normal hours of work are Monday to Friday 8:30am to 5:00pm. The contract is for 6 months from November 2017 to May 2018. The monthly salary is SGD $7,050.

The successful candidate will undergo security vetting and authorisation processes. A police background (criminal history) check will also be required. Continuation of employment is dependent on the successful completion of security clearances and authorisation.

The Australian High Commission - Singapore will not be responsible for any costs incurred when applying for a Singapore visa, relocation costs, nor the return of the staff member and family to their country of origin at the end of the contract.

The Australian High Commission, Singapore will seek the necessary work authorisation if the successful applicant is a non-Singaporean citizen or non-Singaporean Permanent Resident.

Please note that applications failing to comply will not be eligible. Applicants should also carefully select referees who can speak in detail regarding skills and suitability for the role.
