Minutes of the Meeting
Music Guild Board
September 8, 2013
Present: Doering, Dressler, Smith, Massey, Gannon, O’Reilly (by proxy), Neenan ex officio
Absent: Finnerty, Simmons, Ossiander, Greene,Costin
Doering made the following motion: “That the Board express its most sincere thanks to Tom Neenan for his extraordinary work and dedication to seeing the CD recording project through from initial idea to successful completion; recognizing that this effort was a special undertaking that is not part of Tom's usual work as Music Director; and that the Board make a special, one-time award of $5,000 to Tom for his personal use in recognition of his efforts in fundraising to cover the total cost of the project and his personal commitment to obtaining the highest quality outcome."
Motion seconded by Smith. Call for discussion.
Dressler requested that his following discussion points be entered into the meeting minutes:
– this motion is being made without any input and without any prior knowledge on Tom's part as the Board intends it to be a complete surprise;
– that there was no prior arrangement that Tom would receive any payment, award or other compensation for his work on this special project;
– that all of Tom's effort on the CD recording project, including extensive fundraising specifically for this project, are NOT part of his normal activities as Music Director;
– that, in an email to Dressler on a separate but related subject, Tom estimated that he has put in over 200 hours of his own time on the recording project,
– and finally that he (Dressler) had performed due diligence regarding the monetary award and believed, to the best of his knowledge, that this award is permissible within the considering constraints the IRS imposes regarding providing payments or other considerations to volunteers to 501(c)(3) organizations.
There was no further discussion. Motion carried.
Tom Neenan offered an update on the CD project. There was a consensus that a good marketing/sales idea is to hand out free copies of the CD to subscribers (only) with a note to the effect of "In appreciation for being a season subscriber this year, please take this new recording of COaSM home to audition---and perhaps share with friends. If you'd like to keep it, please send $15.00 dollars to the Music Guild, drop off a check at the next concert or go to MusicGuildOnline where you can pay with a credit card.If you'd not care to purchase this recording (even as a gift), please just return it at the next concert you attend. Thanks again for supporting the Music Guild and enjoy tonight's concert!"
Review of P/L 2011-12 and 2012-13 comparison.
Action items:
Dressler moved Music Guild transfer $1000 from its bank account to St. Matthew’s Parish to be used to pay for ordinary expenses. Seconded by Smith. Motion carried
Action item: Tom will please inquire if we can make phone number optional field w/ PayPal for better tracking and follow-up of single ticket buyers.
Action item: Fred is to request reports on subscription calling from those not present who have not yet submitted reports (Costin’s gratefully received).
Dressler moved that Tom research and purchase appropriate name tags for use at events by Music Guild Board members. Seconded by Massey. Motion carried.
