Vacation / Sick Leave Payout Spreadsheet Instructions
Step 1:Look up employee's leave balance using the Status of Leave Report (eReports) and Years of Service in Job Data
Step 2*:Add or subtract leave being earned or used during last pay period to current balance
Step 3:Multiply sick leave balance by .25 (max payout of 240hrs for retirements only)
Step 4:Fill out spreadsheet
Step 5:Make certain that all column formats are correct according to formatting instructions
*If unable to verify leave taken in final pay period through eLeave or access Job Data for years of service contact Dept HRP or HR Office

Payouts
- Vacation payout balance cannot exceed maximum hours for Vacation Carryover and Pay Out located on Status of Leave Report per Policy 6.27
- Sick leave payout balance is 1/4 of the final balance not to exceed 240 hours
- If employee works less than 80 hours in final pay period, their leave balance will need to be prorated using the Leave Accrual Schedule. i.e., If a CCS employee with 15 years of service works 40 hours their last pay period the calculation would be SLP = 40*.0577 = 2.3; VLP 40*.0770 = 3.1 (round to nearest tenth)
