Prepare for Hire

Cookie Monster has been given a job offer and has accepted. In this example, we will finish hiring Cookie Monster into Job Opening 9717. Because he has previously worked at UC Berkeley and has indicated this information in his application - we will be marking him as a "Rehire".

The Prepare for Hire is the last step in TAM as we prepare him to become an employee in the UC Berkeley Workforce Administration.

1.  / Your HCM (Human Capital Management) Home page might look different, depending on your access.
Click the Recruiting link.

2.  / Click the Find Job Openings link.

3.  / The Find Job Openings page appears.
There are many ways to search for a Job Opening,using specific criteria.
If you are unsure of specific information, you can use the Display Jobs field to find all jobs created by or associated with your ID.
In this example, we know the specific Job Opening ID, 9717.
4.  / Click in the Job Opening ID field.

5.  / Enter the desired information into the Job Opening ID field. Enter a valid value e.g. "9717".
6.  / Click the Search button.

7.  / The Search Results appear. Because we used a specific Job Opening ID number, we have only 1 result.
8.  / Click the Administrative Assistant III link.

9.  / The Job Opening page for Job Opening 9717, opens.
We would like to increase our view of the full screen and will reduce the size of the navigational menu.
Click the Collapse (Ctrl+Y) Menu button.

10.  / We are on the Job Opening page.
The top section of the page contains information about the Job Opening and cannot be modified.
The grey Manage Applicants header and View Applicants sub-header indicate where you are.
11.  / There are 10 applicants for this job, as indicated by the number in the blue Applicants bar.
If there were more applicants, you might need to use the arrows to see all of your applicants.
12.  / Review the Applicants page, specifically the Disposition column.
In this example, some applicants have been "Deselected" (110-Deslct), some are still listed as "020-Appl" and two have been interviewed (060-Intvw) and one of the two interviewed has been "Accepted".
In this example, we will focus on the person who has "Accepted" the Job Offer.
13.  / We will focus on Cookie Monster.
Click the Take Action list.

14.  / The Take Action drop-down appears.
Click the Prepare For Hire list item.

15.  / The Manage Applicant - Prepare For Hire page for Cookie Monster opens.
Notice the Application Status field: 071 Offer Accepted.
This page is where you enter the anticipated Start Date. This date may be modified later in the Workforce Administration.
16.  / Enter the desired information into the Start Date field. Enter a valid value e.g. "05/01/09".
17.  / We have entered the appropriate Start Date.
The Type of Hire drop-down options reflects the applicant type of hire, as indicated on their application.
Click the Type of Hire list.

18.  / In this example, the HCM system recognized Cookie Monster and determined based on historical record that he has previously worked at the UCB campus prior to the year 2000.
Click the Rehire list item.

19.  / Note the Employee ID was not verified because he was an employee before the current on-line Human Capital Management system or the previous HRMS.
Click the Verify Employee ID link.

20.  / We have searched for possible employee matches.
Because Cookie Monster was a previous employee before the electronic HCM or HRMS, the system does not have his name associated with an employee ID number.
Important: In the instance that a list of potential matches (a list of names) is returned, make every effort to validate that you are selecting the correct employee. There are many people with the same name!
Contact central HR Record Management or Employment Services if you have any questions.
21.  / Click the OK button.

22.  / In this example, we want to scroll to the bottom of the page.
Use the vertical Scrollbar.
23.  / It is very important the verify all the information on this screen.
When you select the Save & Submit Request to HR button, you will release information from the TAM (Talent Acquisition Manager) to the WFA (Workforce Administrative) system.
If you need to access CM (??)you would do so via the WFA .
24.  / Click the Save & Submit Request to HR button.

25.  / Notice there is a message stating that the request was successfully submitted to HR.
The Application Status has changed to: 080-Ready to Hire.
The rest of the page has data that can no longer be modified.
26.  / In this example, we scroll down the page and go to a previous page.
Use the vertical Scrollbar.
27.  / We want to return to the Job Opening - Manage Applicants page.
Click the Return to Previous Page link.

28.  / The Job Opening - Manage Applicants - View Applicants page opens.
Notice the Disposition of Cookie Monster: 080-Hire.
29.  / You have successfully prepared Cookie Monster for hire.
Click the Home link.

30.  / Congratulations!
You have successfully finished the hire process with preparing Cookie Monster for hire.
