MINUTES for BRIDLESTONE HOA BOARD MEETING
May 21, 2013
- Roll Call
Mark Bartholomew, Bill Bryan, Barb Richter, Tammy Burney, and John Wagner were in attendance. Aleta Hart, Nicki Cloud, and Joseph East was absent.
- Approval & Filing of Minutes: Board Mtg – April 9, 2013
Minutes were approved and posted on website.
- Homeowner’s Forum
No homeowners present.
- Neighborhood Security Update - Joseph East
- Six road tubes were placed throughout neighborhood between April 17-29 to measure the amount of traffic and speed of traffic.
- Ramey Kemp & Associates are reviewing the data to present to Joseph.
- Joseph will present the data to the board once received.
ACTION: Joseph to present data to board for discussion of next steps.
ACTION: Joseph to continue working with off-duty police to monitor streets after survey work.
- Social Committee Update – Nicki Cloud, Aleta Hart
- The first neighborhood event of 2013 was held on April 13th.
- Twenty-two families registered as having attended the event. Estimated about 60 total participants.
- Overall feedback about event was very positive. Timing of the event regarding weather was perfect. The band was engaging and fun. Glad to see so much kid participation. Opportunities were with increasing level of participation and finding food that attracts our diverse neighborhood.
ACTION: Aleta & Nicki to continue to investigate cost of storage unit for HOA owned items.
- Website Update – John Wagner
- New website is up and will include email capability, Google calendar, and Facebook connection.
- Broadcast sent to all recorded users: 105 new users were set up, 18 failed.
- Hard copy of ARC form available on website and an electronic version is planned for future.
- Bi-laws, covenants, and addendums have been posted.
- HOA space, Siteground, and GoDaddy hosting have been cancelled.
- GoDaddy domain name (approx $25 annual cost), GoDaddy email (approx $31 annual cost), Weebly hosting ($99 annually), SentryLogin security/log-in ($50 annually).
- Received first PSV (problem, suggestion, violation) form sent in. John will send to board members for response.
ACTION:
- School Petition – Phan Nueman, Derek Boston, Louise Nottingham
- Prior petition sent to Phan, Derek, and Louise. Requested response from group as to continued interest in working on school alignment. No response has been received.
ACTION: Barb to try to meet with Phan to get any update and whether this initiative will be pursued.
- Landscape Update – Barb Richter
- Rose bushes and summer annuals are ready to be planted.
- Tammy provided initial research on security system to monitor vandalism at front entrance. John will continue analyzing information for recommendation.
ACTION: John to look into security system quotes for front entrance.
ACTION: Barb to compose list of landscape criteria to use for gaining contractor bids.
- Financial Report – Birdseye
- Statusoperating account: $5,655.69 as of 4/30/2013.
- Status reserve accounts (money market, CD): $53,635.94 in money market and $15,168.3 in CD as of 4/30/2013.
- Currently 12 homeowners have not paid 2013 assessment, and homeowners are in lien process.
ACTION: Tammy will call 12 homeowners to try to collect assessment prior to continuing with pre-foreclosure process.
- ARC Requests/Follow-up – Birdseye
- Board decided that if ARC is submitted and board member has need for more information, Tammy will request data from homeowner. If additional data is not received from homeowner after 5 business days, ARC will be declined and homeowner will have to submit a new request for approval.
ACTION: Tammy to check into potential needed ARC for property on Aden Creek installing structure (need to make sure setback is OK). Also, follow-up needed on last ARC requiring data.
ACTION: Tammy to take further action on Aden Creek property with palm trees.
- Violations Update– Birdseye
- Specific violations were discussed as noted in Action Item.
ACTION: Tammy to note damages of 2 houses on Bridletrace that have storm damage from 2011 and take appropriate steps of notification.
ACTION: Tammy to address homeowner on Bridletrace that considers his hill to be "Natural Area". We have multiple complaints on that home and it must be addressed.

- Other Business
ACTION: Board signed application for Bridlestone credit card for easier payment of website dues, event charges, etc. instead of having committee members charge to personal cards and obtain reimbursement.
