IT Site Manager
Facilities and Hoteling have been continually working to empty files and collect supplies. We are looking to the Move Coordinator Team for assistance to ensure everything is empty (files, offices, workstations, mail/copy, kitchen, etc.). The floor has to be completely vacated to allow for construction.
Roles and Responsibilities
Pre-Move
- Review all assigned offices, and all areas on your floors to ensure all materials are removed. Once you have confirmed an office has been completely emptied please place a ‘green’ dot on the door. Once a workstation has been completely emptied please place a green dot on ______. The green dots indicate the office or workstation has been checked and is empty.
- Review all common area file cabinets and empty them if there are materials or files. Please leave the key in the keyhole. ______will sweep the floors each day checking for keys. They will remove the key, place and tape it inside the cabinet drawer, and lock the drawer with their master key. Once a cabinet drawer is confirmed to be empty, a ‘green’ dot will be placed on the front of the file drawer. It will be noted on the master file sheet as empty and locked. If no key is available for the drawer please inform Janine.
- Field general questions with regard to the move. We will issue electronic documents of the Move Process and Packing Instructions along with the ‘From To’ List for your use. We will forward in one email.
- Crate Requests:
- Please take their name
- Ask them where they would like the crate delivered and a date and time needed
- Email the request to One Team
Note: If they want the crate immediately please send them to ______.
Saturday Assistance @ Origin: Arrival Time is 9am
- Review each office and workstation that does not have a green dot for papers, supplies, etc. Remove all materials and supplies to include misc. power cords, patch cords, and cable locks and take to the ‘save our supplies’ boxes.
- Review all offices and workstations with the green dot to ensure all surface supplies have been removed.
- Review all conference rooms and remove all surface supplies and erase whiteboards.
- Check all copy/print areas to ensure all supplies are removed and cabinets have been emptied.
- Check all storage areas and cafes to ensure all supplies and product have been emptied.
- Check all Kitchens to ensure all product and supplies have been removed.
- Check that all artwork has been removed and is in storage 3304.
- Check that all paper names on offices and workstations have been removed and given to Janine.
- Check for all misc. power cords, patch cords, cable locks
Post-Move
- Field general questions regarding unpacking.
- Field questions with regard to service areas and their new locations. We will provide floor plans highlighting all of the service areas you need to be aware of, such as IT, Records, mail, supplies, copy areas, and conference rooms to assist you in fielding questions.
General Information
- Weekend Building Access
- If you do not have a green bordered badge the employee will need to contact security at any of the building entry points. They will need to present their ______Badge and photo ID. Security will let them in the building and assist with elevator access access.
- All move personnel assisting on move weekend will be provided with a green bordered badge which will provide you with building and elevator access.
- Crate Unpacking and Pick-Up
- ALL crates will need to be unpacked.
- Final crate pick up is ______h.
