Administration, Marketing and Events Assistant

Job Description
Hours / 14 hours per week (this will involve some evening meetings which will be pre-arranged – time off in lieu will be given)
Salary / £9,200pa including Inner London Weighting (£23,000 pro rata)

Line Managed by / CEO
Location / Based at Woman’s Trust Office, Edgware Road WC1
Job Purpose /
  • Provision of operational and administrative support to the CEO, Marketing and Fundraising Sub-committees
  • Maintenance and updating of the Woman’s Trust’s website
  • Assist with delivery of marketing and fundraising events strategy
  • Assist with the delivery of the social media strategy

Responsibilities:

  1. Administration
  2. Provision of administrative assistance to CEO (booking meetings, letters etc )
  3. Update WT MC and staff contact lists
  4. Set up schedule for staff meetings
  5. Set up and update WT’s Year Plan
  6. Organise DV Awareness training for staff and volunteers
  7. To respond to email communications
  8. To carry out other administrative tasks as identified by CEO
  1. Operational Management
  2. Ensure smooth running of WT’s offices, identifying and dealing with all practical aspects from ordering of new equipment, replacement of old equipment , dealing with issues in the fabric of the office
  3. Lead in maintaining computer network and resolving IT and phone problems
  4. Quarterly check and update of WT’s Business continuity document
  5. Ensure WT’s yearly Health & Safety check is carried out and ensure ongoing health and safety checks on working environment
  6. Support CEO with review and renewal of WT insurance and other policies and subscriptions
  7. Acting as Health Safety Officer and Fire Marshall
  1. Marketing
  2. Attend the Marketing Sub Group meetings and provide administrative support for activities
  3. Develop and maintain the activity log of the Marketing sub group
  4. Produce and execute campaign emails using Mailchimp
  5. Maintain and keep WT’s supporter database up to date including the details of WT’s volunteers and staff.

  2. Maintenance of the Woman’s Trust’s website, write content for webpages and other promotional materials, including updating details on search engines.

  2. Ensure WT has a regular social media output,and monitor and update the CEO and marketing teams on WT’s Social media analytics
  3. Lead production of WT’s quarterly newsletter
  1. Fundraising events/supporters
  2. Support and/or lead the planning and delivery of events
  3. Ensure that fundraising pages are identified and donors and fundraisers are contacted and added to our supporter list

  2. Deal with written and telephone enquiries quickly and appropriately, referring to senior team members where appropriate
  3. Assist the staff team by organising office cover and answering the phone
  4. Assist in maintaining a database and resource bank of relevant services in order to make effective referrals and to provide women and front-line workers with information
  5. Be a point of contact for all clients, professionals at every level, counsellors and the public, making enquiries about Woman’s Trust services.

General

3)Participate in strategy days, planning exercises and assist in the development of Woman’s Trust services.

4)To carry out appropriate additional tasks as needed, with the agreement of, or as instructed by the CEO

5)To contribute to the overall running of Woman’s Trust by participating in staff meetings, sharing information and providing reports for the Board of Directors
