ESL/LEP and Immigrant Status Data

ESL/LEP and Immigrant status data can be found on a student’s Auxiliary page in STAR Student. This page has several tabs associated with it; however, only the first three tabs (Auxiliary, Birthplace, and Languages/LEP) are used for LEP information.

Auxiliary Tab:

Information on this tab is entered (from the enrollment form) and maintained by the school administrative assistant responsible for the enrollment of students.

·  Citizenship – indicates if a student is a citizen of the United States.

·  Date Entered Country – date that the student first entered the United States.

·  Immigrant Status – checked if a student is considered an immigrant. (Individuals who are age 3 through 21, who were not born in the United States or not a United States citizen, and who have not been attending one or more schools in any one or more states for more than three full academic years.) Before submitting the FALL SRC Report to the VDOE, the technology MIS department will evaluate the students tagged as immigrants. If any of these students have been attending school for more than three full academic years, they will remove the checkmark from the immigrant status field.

·  Immigrant Status Date and Date Entered US Schools – date that the student first started attending a school in the United States.

Birthplace Tab:

Information on this tab is entered (from the enrollment form) by the school administrative assistant responsible for the enrollment of students.

·  Birth County Code – code for the country of birth of a student; this field should be left blank if birth country is the United States.

Languages/LEP:

LEP Status - Information in this section of the Languages/LEP tab is entered and maintained by the ESL teacher.

·  Status Date – the first day of school or the date the student was identified in the current school year; this field is mandatory. (If a date is not entered, the system will not allow you to save any information in this section of the Languages/LEP tab.)

·  LEP Indicator – Use the pull down arrow to select the choice.

o  Yes – Student is identified as LEP and receives ESL services (1)

o  No – Student is identified as LEP and does not receive ESL services or has refused ESL services (2)

o  Monitored – Within the past two years the student was identified as LEP (3)

Languages - Information in this section of the Languages/LEP tab is entered (from the enrollment form) by the school administrative assistant responsible for the enrollment of students.

·  Home Language – language spoken by the student at home.

·  Primary Language – first language learned by the student.

Finding a student’s Auxiliary page in STAR Student:

·  Launch Star_Base School Suite™ by clicking on the Star Student icon on the Desktop.

·  Enter assigned user name and password. These are case sensitive and the user will be locked out after three unsuccessful tries. Click OK.

·  Upon logging in, the following window appears. By default the Task menu is open in the left portion of the screen and the Message Center is open in the right portion.

·  On the task tab, in the left portion of the Star_Base window, click on the plus icon to expand the Student Information menu.

·  Click on the plus icon to expand the Maintenance Menu.

·  Click on Student Look-Up Screen.

·  The following screen will appear. Enter the student’s last and first names. Click Find.

·  The student’s summary screen will appear.

·  On the toolbar at the top of the page, click on Student and choose Auxiliary.

·  The student’s Auxiliary page will appear.

Generating a list of ESL students:

·  On the task tab, in the left portion of the Star_Base window, click on the plus icon to expand the Student Information menu.

·  Click on the plus icon to expand the Maintenance Menu.

·  Click on Student Look-Up Screen.

·  The following screen will appear. Click on the Advanced tab.

·  On the Advanced Query screen, select the tables where the LEP information is stored in STAR Student (Student’s Main Record [SBASE] and LEP Record (Student) [ST_LEP]). Use the pull down arrows to select the tables.

·  Place the cursor on the Display line. Select FIRST_NAME from the SBASE table by clicking once on the field. Select LAST_NAME from the SBASE table. Select LEP_FLAG from the ST_LEP table. The Advanced Query screen should now look like the following:

·  Place the cursor in the Order line and select LAST_NAME from the SBASE table by clicking once on the field. This allows the list to be sorted by students’ last name. The advanced Query screen should now look like the following:

·  The following query will return a list of ESL students and their LEP information. Click on the Find button.

·  The following is an example of the query results:

·  You may save the query for future reference. While your list is still displayed on the screen, choose Action from the toolbar at the top of the page.

·  Choose Save Student Query.

·  Enter a name and description for the query. The query can be made available to ALL Users or to specific roles within STAR Student. Click on the Save button.

·  You will receive the following message. Click on the OK button.

·  To retrieve the saved query, pull up the Student Look-Up Screen and click on the Get Query button at the bottom of the page.

·  Select the desired query and click OK.

·  Choose Run Query.

·  Your list will be generated.

·  You may export the list to an Excel spreadsheet. While your list is still displayed on the screen, choose Action from the toolbar at the top of the page.

·  Choose Create Text/HTML File.

·  The following screen will appear. Click on the Text button.

·  The following screen will appear. Change the output file to the location you want to save the file (ex: ESL), click on the radio button beside of Tab under Separator Char, and click on the Run button.

·  The following screen will appear. Click OK.

You will then need to open Excel and choose File/Open on the toolbar. Find the file on your desktop or wherever you saved it. (Don’t forget to click on ALL files at the bottom to bring up all files instead of just EXCEL files.) When the Text Import Wizard appears, make sure Delimited is tagged and then click Finish.
