Role Description

Job Title:Centre Administrator

Pay:£20,000 p.a.

Hours:35 hours per week

Accountable to:Designated member of CCMC

(currently Rev. Paul Collier)

Role Summary

To ensure the smooth running and maintenance of the Copleston Centre and its projects.

Main duties include: operational management,effective communicationensuring all equipment is maintained and repaired when necessary; facilitating efficient liaison between the Creative Therapies Project and other Centre activities; and, maintaining the policies and procedures for the safe and efficient running of the building and its facilities.

ACCOUNTABILITY

The post holder’s line manager isthe designated Committee member of the Copleston Centre Management Committee (CCMC), currently the Chair, Rev. Paul Collier

Duties

  1. To work out of the main Centre Office
  2. To answer general queries made by telephone or face to face
  3. To maintain the administrative procedures of the Centre including taking bookings for facilities; developing and maintaining effective record keeping systems; producing and updating leaflets and other sources of information about the Centre and its projects; maintaining and updating the Copleston website
  4. To administer the book-keeping systems, ensuring invoices are approved logged and stored as required by the Centre’s Book-keeper
  5. To ensure efficient coordination of Centre activities with those of the Centre’s Creative Therapies Project.
  6. To be the first point of contact for the Centre’s daily maintenance requirements, and to engage local contractors as necessary for the purposes of repair and maintenance
  7. To ensure the premises and its facilities are clean and presentable, to be responsible for the Centre laundry, and where necessary to arrange cover for the cleaner
  8. To be the designated Health & Safety Officer and First Aider
  9. To ensure all policies and procedures are properly implemented and documented, and to co-operate in the regular review of all such policies.
  10. To ensure that appropriate information for all relevant personnel (including volunteers) are properly recorded and maintained, and that personal data and records for staff & volunteers are properly and securely kept; to inform CCMC immediately of any errors or issues that are identified
  11. To maintain and administer the petty cash system, and to produce petty cash reconciliations on a monthly basis
  12. To report to, and participate in all internal meetings.
  13. To attend each meeting of the CCMC to provide secretarial support and to report on the running of the Centre.
  14. To assume any other duties as agreed with CCMC which are necessary for the fulfilment of the aims and objectives and future development of the Centre, includingstrategic planning,centre management and fundraising activities.
