CLERK’S OFFICE COURT FILE CLERK

Supervised By: Chief Deputy County Clerk

Supervises: None

Position Summary:

Under the supervision of the Chief Deputy County Clerk, performs a variety of tasks clerical tasks, including but not limited to filing, basic typing, document scanning, assisting customers at the counter and by telephone,and related work as required.

Essential Job Functions:

  1. Maintains and files Circuit Court civil and criminal documents, including electronic and non-electronic formats. Finds any missing files that have been sent to different departments or individuals within the courts.
  1. Pulls files for the Circuit Court Judge to review prior to court hearing.
  1. Assembles Personal Protection Orders (PPO) and pro per divorce packets.
  1. Assists with receptionist duties, including answering telephone lines of the office, responding to general inquiries, and directing calls to appropriate individuals.
  1. Performs routine office procedures and mail duties. Provides back-up assistance for mail pick-up as needed.
  1. Prints Records of Actions and requested documents for the Prosecutor’s Department.
  1. Assists theDeputy County Clerks with special projects as needed.
  2. Scans a variety of documents.
  3. Provides back-up assistance and coverage to the County Clerk’s Departmentas needed.
  1. Assists customers at the counter and the phone, performs simple request for vital record documents, processes payments andassists other clerical staff.
  1. Performs other duties as required.

Requirements include the following:

  • High school diploma or equivalent and less than one year of experience in providing clerical and administrative support.
  • The County, at its discretion, may consider an alternative combination of formal education and work experience.
  • Ability to learn the principles and practices of general office procedures, and local, state, and federal laws, rules, and regulations governing the operations of the State of Michigan Circuit Court and Clerk’ Office.
  • Ability to learn court procedures and practices.
  • Skill in maintaining accurate electronic records and providing customer service.
  • Skill in assembling data, and preparing reports.
  • Skill in effectively communicating ideas and concepts orally and in writing.
  • Ability to establish effective working relationships and use good judgment, initiative and resourcefulness when dealing with County employees, contractors to the County, representatives of other governmental units, professional contacts, elected officials, and the public.
  • Skill in the use of office equipment and a basic understanding of Microsoft Suite applications. Ability to adapt to the use of Clerk’s Office and state software for data entry.

While performing the duties of this job, the employee is regularly required to communicate in person and by telephone, read regular and small print, view and produce written and electronic documents, and enter data on a computer keyboard with repetitive keystrokes.The employee must be mobile in an office setting, stand, sit, stoop and kneel, use hands to finger, handle, or feel, and reach with hands and arms.The employee must lift or push/pull objects of up to 15 lbs. without assistance.Accommodation will be made, as needed, for office employees required to lift or move objects that exceed this weight.

The typical work environment of this job is a business office setting where the noise level is quiet and sometimes moderate.
