WELCOME & PRAYER

Brenda Doyle, Chaplain welcomed approximately 40 residents, management and guests to the winter town meeting. She read from Psalms 1 and led in prayer.

COMMUNITY UPDATES

Gail Potter, Executive Director, gave the following updates:

The roles of Supervisor of Housekeeping and Supervisor of Laundry are being combined into one role and Earlene Wagaman will be filling this position.

There are currently a few cases of the flu at Chambers Pointe.

AUXILIARY NEWS

Suzette Davis, Menno Haven Auxiliary President, shared information about changes in the location of the convenience store and glass house items at Chambers Pointe. The convenience store is under some renovation and the items have been temporarily moved to the glass house location. Upon the completion of the construction, all items will be located in the convenience store. This move is anticipated in March.

The Menno Haven gift shops are converting to the Point of Sale system and will begin implementation in March. This change will allow you to use credit and debit cards at the point of purchase.

The Auxiliary is currently updating their membership information, please notify Billie Torrey or Barb Seylar if you feel you should be receiving Auxiliary information and are not. The Annual Appreciation Social will be held on February 20th. The Auxiliary is adding a new level of membership this year, a sponsorship level. This membership will allow you to contribute and support the auxiliary and receive membership benefits without the requirement for attendance at events.

Suzette shared that the Auxiliary works to raise money that will help support the residents of Menno Haven. This year they have committed to sponsor $89,000 in projects at Menno Haven that directly enhance the lives of residents. A new spa tub and exercise equipment are a few projects sponsored by the Auxiliary. There are two fund raising opportunities coming up in the near future. One is the sale of Wenger’s ham loaf and pork BBQ and the second is the Spring Tea and Fashion Show. This year the Tea will be held on April 14th and will be open to men as well as ladies. The fashion show will include the addition of male models this year.

VOLUNTEER OPPORTUNITIES

Billie Torrey, Director of Transportation and Volunteers, highlighted the many ways that residents can volunteer at Menno Haven. The entire list of opportunities was included with the agenda for the meeting. Billie has worked with Menno Haven for 23 years in various roles and has assumed the role previously held by Sherry Wengert. Her office is located in the Brookview Health Care Center and her phone number is 261-2360.

TRANSPORTATION UPDATE

Tim Johnson, CCO clarified the reason for a charge for medical appointments and not for leisure trips. The medical appointments require that certified personnel be pulled from the floor to accompany residents to an appointment. The cost associated with the leisure trips is allotted within that department’s operating budget.

PROJECT GENESIS GATHERINGS

Lynn Lerew, resident of Chambers Pointe introduced himself and provided information about upcoming events for residents. There are many volunteers that are giving hours toa campaign to make Project GENESIS become a reality. Residents can expect to be notified of a series of small gatherings in our communities beginning in March. Each meeting will include light refreshments, a presentation about Project GENESIS, and the opportunity to ask questions. These meetings will be held either in the home of a resident or a meeting room at Menno Haven. They are designed to host a small group, allowingguests to be comfortable asking questions and sharing ideas. Each host or hostess will have the ability to add their own unique touch to the gathering. There will be a Captain for each community and their role will be coordination of these events. The gatherings will not be fund raising events, rather they will be informational in nature. Please contact Lynn Lerew, Suzette Davis, Karen Motyka or Paula Warner if you would like to be a host/hostess.

TEAM SERVICES UPDATE

Tom Gilbert, resident member of Board of Directors, shared some introductory remarks about the Human Resources program at Menno Haven. Menno Haven a program that is designed to retain quality team members and produce a world class product. The team is working hard to develop a comprehensive, transparent, and fair Team Services (HR) program. William “Bill” Phillips serves as the Executive Director of Team Services and he has been working hard to develop programs that have a positive impact on the work force. Tom invited Bill to share in more detail the types of programs that exist at Menno Haven. Bill Phillips shared his belief that team is very important at Menno Haven. Team Services is the conduit to provide good care for team members as they provide quality care and services to our residents. The members of the Team Services team are as follows:

The initial contact with the Team Services team occurs during the application process. After a series of interviews, the applicant must go through a clearance process. These requirements include a background check, drug screen, physical examination, TB testing and clearance. When a new team member begins their career with Menno Haven, they spend the first 2.5 days in New Team Member Orientation, followed by a half-day computer orientation for our clinical staff. Members are then assigned a mentor as they begin to work on the floor or in their department. This mentoring program is currently being revamped to better train and retain new team members. There is a concentration on mentoring of new CNAs as we desire Menno Haven to be a best place to work. The retention of staff is one of the greatest challenges faced today. We continue to put effort into innovative ways to retain team members. One of the areas of focus has been in the provision of quality benefits and pay for team members. A market study of pay scale for all positions within Menno Haven was conducted this past year. The study revealed that there were two positions, CNAs and Culinary Assistants, which fell below the market range. While all team members received a % increase in salary, these team members were given a flat rate bump in salary to bring it in line with the competition. Menno Haven is also working hard to provide continual learning opportunities for team members. These opportunities are made available through an online learning platform. This year we will focus on development of curriculum that will provide courses to enhance the skill of supervisors, teach life skills, and personal development for team members.

Team Services is working to improve the performance management system at Menno Haven. This year there will be quarterly check-ins between supervisors and team members. The goal of these meetings will be the development of goals for team members and fostering of relationship between supervisor and team members. We want to help our team members grow to their full potential as well as provide a career track.

The turnover rate for Menno Haven in 2016 was 45% and the current rate has been lowered to 28.4%. We continue to work on improving this number. The CNA turnover was 55% in 2016 and improved to 31.5% in 2017. This number is monitored monthly. With the continued focus on training and mentoring, we hope to see continuing improvement. Another rate that is monitored closely is that of the Revolving Door. Revolving Door represents the number of team members who are hired and leave Menno Haven within their first year of employment. This number was 40% in 2016 and improved to 28% in 2017. The world class standard that we are striving toward is 10% or lower. We continue to work to develop initiatives that will help us attract, retain, and develop quality team members.

FINANCIAL UPDATE

David Gentry, CFO reviewed the following information and stated that Menno Haven remains financially strong and is committed to good stewardship of our resources. This strong position will help Menno Haven this year as it pursues financing for Project GENESIS.

100s UPDATE

Jon Baker, CAO provided an update on redevelopment of the 100s section. There were sixteen residences when the process began and all of these residents have selected their new home and all but two have relocated. The remaining residents will be moving in the near future. There are currently 29 priority depositors and there has been very strong interest in the new cottages. The marketing team is working to keep Priority Depositors interested, engaged and informed. Jon shared the site plan and floor plan. The new cottages will have a 1 car garage, 2 bedrooms, and 2 bathrooms. There were a few minor changes made to the floor plans as a result of good feedback from those making deposits. The goal is to have the first cottages come online in late 2018, with the remainder to follow in the early part of 2019.

PROJECT GENESIS UPDATE

Larry Lugaro, Director of Project Development, introduced Bill Weigard, Project Coordinator. Bill will oversee refurbishments and mennovations. His office is located in the Home Office. Larry gave a status update on the construction of the Rehab Center as well as the remainder of Project GENESIS. He reported that 30% of construction has been completed with work continuing on the installation of underground utilities. There have been some delays due to snow and cold weather. However, the projected completion date remains October 2018.

The remainder of Project GENESIS includes the Memory Care Houses, Skilled Nursing Facility, Service Center, and Resident Life Center. The entitlement process should be completed by June of 2018 with a projected start of construction in late summer or early in the fall 2018.

QUESTIONS FROM RESIDENTS

Q: Will there be a moisture barrier under the rehab center and what is it made of? A: The moisture barrier is made of polyurethane product placed under steel. All seams will be taped and the piping will be taped. There will be radon abatement under this barrier.

Q: When demolition begins in the 100s section, will you be able to save any of the trees? A: No, unfortunately this will not be possible due to the elevation and placement of the buildings. There will be new trees planted in this area to replace the ones that are removed.

Q: There are 29 priority depositors and only 22 cottages available, will the advertising stop? A: No, we will accept up to 40 priority deposits.

Q: Why doesn’t Menno Haven advertise on local TV stations? A: TV advertising is costly, however there has been some money designated for TV advertising this year. You will probably see these advertisements beginning in April or May.

Q: In light of the confirmed flu cases here at Chambers Pointe, can we reach residents and inform them not to walk through the areas that are quarantined? Cottage residents were not informed that they could not visit in the Manor Building. A: The Manor building has not had any new cases since last Friday and the hope is that by this Friday we will be able to lift the quarantine. Residents will be notified as appropriate. Gail encouraged everyone to be diligent with hand washing.

Q: Is there a bus that can take residents to other exercise areas when one is closed? When classes are cancelled, this should be communicated to residents. A: Anyone can call for transportation between campuses and it will be provided as it is available and there is not a charge for this service. Also, the Exercise classes with Robin are televised on Channel 956 at 8:25 a.m. and you can participate from home.

Q: This year’s flu hits very quickly and residents who live alone could be unable to access help, what are we doing to check on these residents? A: There are no routine checks being done currently. This is something management will need to consider. The Renaissance building has a neighbor system where they check on each other and notify staff when necessary. It was suggested that this be a topic for Chamber Chatter.
