Summary
Reporting to the Deputy Head of Communications, this role will require a logical mind and the ability to work quickly and reactively. The successful candidate will be highly organised and ready to support the communications team administratively with major media campaigns. The candidate will:
  • Be responsible for media monitoring and evaluation
  • Provide everyday administrative support to the Communications Department which includesthe Press Office, Public Affairs, Celebrity, Supporter Magazine and Corporate Partnerships teams.
  • When required administrative support will also be provided to the Director of Communications.
  • Supporting the Head of Public Affairs with administrative duties
  • Supporting the Director of Communications with Internal Communications
Please note this role is not a stepping stone route to a press officer role within Dogs Trust and we are looking for someone who is happy to remain in this role.
Duties
  • Circulate and file daily, weekly and monthly press cuttings (including broadcast, print and online)
  • Managing accounts with press cuttings agencies and broadcast monitoring agencies
  • Compiling press coverage and evaluation reports with insights about media results
  • Maintaining up to date knowledge of copyright laws, and advising Dogs Trust colleagues as necessary
  • Provide general assistance to the Communications team when requested, to include copy writingwhen required by the team
  • Managing coverage highlights and showcasing to the wider organisation and Trustees
  • Sourcing relevant publications, journals and reference materials and filing appropriately while managing the subscriptions
  • Arranging catering, travel and accommodation for the team as required
  • Assisting with photoshoots and events
  • Support with internal comms activity.
  • Implementing a tidy desk policy and supporting the team with filing solutions
  • Ensuring the office space is workable, tidy, in order and organizing external storage when needed.
  • Any other reasonable duties as required

Person Specification
The successful candidate must possess excellent organisation, administrative and interpersonal skills, be a good team worker with the ability to manage and prioritise own workload.
Essential:
  • Previous experience in an administrative role
  • Experience of using online databases/monitoring tools.
  • Excellent use of Microsoft Word, Outlook and Excel - including experience of managing and maintaining databases
  • Good numerical skills.
  • Good written and verbal skills, with good attention to detail
  • Excellent organisational and time management skills
  • Sympathetic to the aims and objectives of Dogs Trust
  • Confident team player with good inter-personal skills
Useful:
  • Experience of media monitoring and evaluation systems
  • Knowledge of copyright laws and issues relating to the media
  • Experience within a busy press office or PR agency, but not essential
