Overall Job Purpose / The primary role of the HR Advisor is to provide generalist HR support to the business alongside the Head of HR/HR Manager.This generalist support includes taking fully responsibility of all HR Admin related tasks whilst taking part in elements of Recruitment, Performance Management, Grievance and Disciplinary Management and Advisory support.You will be the first point of contact for all HR related queries.This role will involve regular travel within the UK to Ad Hoc branches averaging to 2 to 4 days per month including some overnight stays.
Key Accountabilities
KEY PERFORMANCE INDICATORS / RECRUITMENT AND SELECTION
  • Check that all recruitment has been signed off by Managing Director before starting process.
  • Draw up and update all Job Descriptions and Specifications as required by the Company.
  • Create adverts for all vacancies alongside Branch Managers and Heads of Department.
  • Place Job Adverts on relevant medium alongside HR Manager.
  • Manage online internal and external Job Boards
  • Appoint external agencies where necessary (level 3 and above roles only)and manage agency applicants
  • Screen and Shortlist applicant CVs
  • Tele-screen applicants and shortlist for interviews.
  • Arrange interview locations,dates and times for HR , Branch or Line Managers .
  • Conduct first stage interviews alongside Branch Manager or Line Managers hiring.
  • Draw up contracts, Offer Letters and other offer documentation when offers of employment are made.
ADMINISTRATION
  • Full responsibility of all employee files up to grade 4 (excluding senior managers)
  • Provide all new starter and leavers information to head of Finance by the 20th of each month-Bank Details,P45 or P46
  • Create all employee electronic files within 48 hours of them joining.
  • Manage all employee files ensuring all information held is current and accurate.Request updates as necessary and create audit system
  • Request P45 for all leavers from payroll/Head of Finance within 3 days of final salary being paid.
  • Move all leavers files to an archive folder within 5 working days of P45 being issued.
  • Ensure all files are 100% compliant at audit:Right To Work,Contract,CV, Proof of Address,Next of Kin,P46/45 and Driver’s License(disc and paper) for all drivers
PROJECTS
  • Support with HR projects as requested by the Company such as Pensions and Benefits etc
  • Writing and updating HR policies to ensure Company remains compliant with changing legislation.
  • Assisting Head of HR with recurring projects such as annual performance appraisals, salary benchmarking etc.
  • Researching and managing a company benefits scheme alongside HR Manager
  • Source training from external Companies for the various roles within the Company.
  • Full responsibility for all staff welfare initiatives.
PERFORMANCE MANAGEMENT
  • Assist in the creation of all performance management related documents including PDPs, Action Plan Templates and letters etc.
  • Advise and coach Line and Branch Managers on how to deal with under performance.
  • Assist in ensuring capability process is being adhered to by all managers when dealing with under performance.
  • Conduct disciplinary meetings and enforce outcomes according to Company policy.
  • Conduct grievance process alongside Head of HR and other senior Managers.
GENERAL
  • Take full responsibility of all HR related matters in absence of Head of HR/HR Manager
  • Keep up to date with all Employment Law Legislation and update company policies as necessary.
  • Act as first point of contact for HR queries
  • Onboarding and off boarding off all staff ensuring all relevant documentation is issued.
  • Assist in monthly HR reports for the Managing Director and Company to record all people related activity.
  • Keep regular management information (reports) on all HR spend including absence,disciplinary, grievance advertising, recruitment and travelcosts etc.
  • Provide an advisory service to employees ensuring that they are fully aware of their rights and entitlements
  • Ensure Human Resources matters are handled fairly and consistently in line with legal and policy
  • Support the HR Manager with grievance, disciplinary and capability investigations and hearings
  • Perform all duties and tasks with the utmost discretion to maintain privacy of all employees’ personal information.
  • Ensure all vacancies are filled within 8 weeks of notification.
  • Keep agency and legal advice spend to an absolute minimum .50% roles should be filled through own recruitment methods.
  • 100% compliance of all employee files (up to grade 4)atmonthly audit. Complete employee file audit by last working day of each month.
  • Provide all new starter and leavers information to head of Finance by the 20th of each month-Bank Details,P45 or P46
  • Respond to all HR queries within 3 working days of receipt.
  • Ensure all HR correspondence is documented correctly in employee files.

Person Specification /
  • Educated to a minimum Degree Education
  • Fully CIPD Qualified or working towards an advanced level qualification
  • Excellent administrative skills
  • Generalist HR experience preferably from an SME or a fast paced organisation with constant change such as a retail or call centre environment.
  • A background within lettings , property management or other services industry would be advantageous.
  • End to end recruitment experience.
  • Experience of providing 1st Line HR Advice and Support in a generalist capacity.
  • Full UK Clean Drivers Licence
  • Confidence to work across all levels of the business
  • Discrete and professional at all times.
  • Ability to deal with challenging situations often associated with people management.
  • A skilled influencer with great collaborative skills.
  • Intermediate Computer Literacy Essential
  • Presentable and professional appearance
  • Possess a good command of written and spoken English.
