To book dealers tables for Auto Assembly 2015, please confirm your requirements with the Auto Assembly team FIRST and then complete this form and send it to the address on the back with your payment or email this form to us and send your payment via PayPal.

Further information on the convention, including hotel accommodation will be sent with your receipt or can be found on the website along with the latest event news.

TABLE PRICES

Unfortunately, because of increasing running costs for the convention, we have had to increase our table prices from Auto Assembly 2014 but we have attempted to keep this increase to a minimum. However, we still believe that these offer exceptional value for money, especially considering the fact that they include staff passes and we offer additional support for all our dealers! We believe that this - coupled with the continual increase in size of the convention makes this the best dealer package yet.

The price is £170 for a "standard" table. This is for a block of three tables and up to two members of staff. Each table is 5 foot long by 2 foot 6 inches wide (although depending on availability we may be provided with 6 foot tables - if so you will be provided with these automatically) and can be arranged in any configuration you wish - three front tables with no backing tables, two front with one backing, or one front and two backing. This gives you a total of 39 square feet of space per table but your "block" can not exceed the maximum width of one table.

We will be producing a package of items for all convention attendees which will include either a physical or digital copy of our convention magazine, The Cybertronian Times, as well as the 2015 Auto Assembly comic along with convention exclusive postcards and other items. These will be provided as standard for you and all of your staff.

TABLE LIMITS

Despite the capacity of the Hilton, space for dealers is limited. Each year Dealers Table space has been a complete sell out with us also holding a waiting list and while we are relocating to a considerably larger hall within the hotel we anticipate Auto Assembly 2015 again being a sell out so please book early to avoid disappointment.

Please note that we can not reserve tables for dealers under any circumstances so all table bookings must be made with payment sent within 7 days of the booking form being received or tables will be released for re-sale.

CANCELLATIONS / REFUNDS

Please ensure that you are able to attend the convention as a dealer before booking your tables as refunds can not be offered if you are unable to attend the event or change your mind about trading at Auto Assembly. In addition, refunds / booking transfers will not be provided should you fail to attend the event. In these circumstances, you will be classed as a "no show" and your tables / payment will be forfeit.

Should you be in a position that you are unable to attend for reasons beyond your control, we will be willing to assist you in transferring your booking to another dealer who may be interested in attending in your place, but we can not be held responsible for finding a substitute dealer on your behalf - this will be your responsibility. Substitutions may be subject to an administration fee at the discretion of the organisers.

STAFF

If you are unsure about who will be attending the convention as members of your staff, please put TBC on the form in the places for staff names for each person you intend to bring with you. However, you must notify us of all your staff details by no later than 30th June 2015 or the place will be forfeit.

In addition, please note that you must include yourself in this list if you wish to attend to represent your company unless you are sending other staff in your place.

ADVERTISING LIMITS

Advertising is subject to available space. Please email to enquire about smaller sizes for advertisements (half and quarter page adverts). Postcards will be produced to meet demand / sponsorship and artwork will be created by our in-house artists or specially commissioned for the convention and will be linked to our convention guests. All postcards, The Cybertronian Times Issue 16 and our official convention comic will be distributed at Auto Assembly 2015.

All adverts must be booked by no later than 31st June 2015 with payment being received in full by this day and advertising copy provided within seven days of payment.

OTHER SPONSORSHIP / ADVERTISING

BOOKING CONFIRMATIONS

Once you have booked, you will receive an email confirmation with your ticket numbers. Details of how to book discount hotel accommodation should you require it at the convention hotel will be included in this email.

BOOKING DEADLINE

Bookings for dealers tables will close on 30th April 2015 so please ensure that you have booked your tables by this point. We will only extend bookings beyond this date should we have any tables remaining.

WAITING LIST

Should we sell out of tables for the convention but you wish to attend as a dealer, please get in touch as we will be able to add you to a waiting list should any of our dealers need to alter their requirements / cancel at short notice and be able to transfer their booking to you.

PAYMENTS

Our preferred method of payment is by PayPal and we will supply you with details of the payment account once we have received and checked your booking form. You can pay by cash via post but we must stress that this is sent at your own risk and we strongly recommend that this is sent by recorded / registered mail.

We have limited capacity to accept cheques/postal orders although this is not our preferred payment method - please email to enquire about this.

Overseas bookings must be paid for by PayPal or cash ONLY in Pounds Sterling. Payment must be received at the time of booking. Invoices must be paid for within 7 days of the booking being made, with a minimum 50% deposit paid within 48 hours of the initial booking to secure your tables. Failure to do so will result in the withdrawal of this payment option for future events.
