Title: Autism Ontario York Summer Programs Director

Reports to: Chapter Manager - York

Location: Based in Richmond Hill – camp location TBD; off season hours can be done at home or at our office at 11181 Yonge St. Suite 215 Richmond Hill

Hours:Winter/Spring 4 weeks for Interviewing

Pre-Camp 2 weeks for Prep

Staff Training in June

Camp hours – full time – July 3rd – August 17th 8:30am – 4:00pm with additional hours as needed

Salary:Hourly rate based on experience.

PositionOverview

Works directly with the Chapter Manager to coordinate camp and supports the Assistant Directors to ensure programming, customer service and quality control is executed.

KeyResponsibilities:

Pre-Camp Reponsibilities:

  • Coordinate with Chapter Manager to recruit and hire all Senior Staff positions
  • Communicate to all returning staff that positions are available
  • Schedule interviews for all returning staff (phone/Skype)
  • Communicate through Campbrain to all new staff who are seeking employment
  • Schedule interviews with all new staff candidates
  • Form an interview panel who can assist with interviews of new staff
  • Ensure reference checks are completed and all candidates who are suitable are on boarded by Chapter Manager
  • Coordinate with Assistant Directors to establish monthly planning meetings
  • Assist with camper recruitment/placement by April 15th
  • Complete Camp Handbook for distribution June 1st
  • Coordinate staff training sessions
  • Ensure Assistant Directors are planned for their rooms and all camp trips well in advance of the summer.

During camp responsibilities:

Administration:

  • Coordinates all busing needs with designated bus company.
  • Acts as coordinator of emergency responses, if required, throughout the summer, or assigns a designate in their absence.
  • Is responsible for tracking all camp finances for including individual room expenses and tracking receipts.
  • Reconcile all finances with the Chapter Manager on a weekly basis (or more frequently if needed).
  • Ensures that all Autism Ontario policies and procedures are being met.
  • Ensures that all camper records are kept confidential.
  • Ensures all staff records are kept confidential.
  • Responsible for compliance to standards set by Autism Ontario & Ontario Camps Association.
  • Works collaboratively with the Chapter Manager to ensure all standards are adhered to and all records are kept to facilitate accreditation visits each summer.
  • Ensures accreditation is obtained each summer for Ontario Camps Association standards and Autism Ontario Camp Standards.
  • Informs Chapter Manager of cancellations, staffing needs and parent issues when needed.
  • Completes all required Serious Occurrence and Incident Reporting – as required. Liaising with Provincial Office on-call phone as necessary and completing the Serious Occurrence reports with families.

Program:

  • Coordinates overall camp program with direction from Assistant Directors.
  • Oversees daily program planning of the Assistant Directors.
  • Participates daily in camp programs assisting where needed.
  • Ensures supplies are adequate, not damaged and facilities are booked.
  • To collaborate with the Assistant Directors to maximize resources, design and implement staff training, purchase supplies, negotiate facility requirements, share resources throughout programming times, implement the evaluation processes for all staff.
  • Acts as coordinator for yearly overnight.
  • Coordinating on-site resources for use by all of camp.
  • Coordinating with the Youth/Young Adult Coordinator to ensure programming expectations and space requirements are met.
  • Clean-up of camp at the end of the season and transition all camp supplies back to the storage space ensuring broken equipment is identified and equipment inventoried for the next summer.

Human Resources:

  • Ensures staff records are kept up to date.
  • Ensures performance evaluations are being conducted by Assistant Directors.
  • Performs performance evaluations for Assistant Directors twice throughout the summer.
  • Gives input to Assistant Directors when requested on Senior Counsellor evaluations
  • Supports Assistant Directors in evaluating Counsellors when required
  • Manages problems and situations involving staff and campers as they arise throughout the summer, informing the Chapter Manager as needed.
  • To act as supervisor and mentor to counsellors.
  • Acts as a role model to ALL staff at camp adhering to all Camp/Chapter policies and procedures.
  • Responsible for tracking all human resource hours and ensuring Chapter Manager has accurate absences for payroll.
  • Maintain a list of “on-call” staff in case of absences, and ensure proper staffing levels are maintained daily.
  • Gives mentorship and direction to the Counsellors in Training and debriefs with them on a daily/weekly basis.
  • Supports and gives direction to all Volunteers.

Communication:

  • Manages problems and situations involving staff and campers as they arise throughout the summer, informing the Chapter Manager as needed.
  • Ensures communication between camp (Assistant Directors) and families, is open and acts as a sounding board should issues arise.
  • Manages problems & situations involving staff/campers as they arise throughout the summer, consulting with the Program Director and/or Chapter Manager when necessary.
  • Works as part of a team with all Senior Staff to ensure the needs of all campers and staff are met and programming is shared as much as possible.
  • Completes all Incident Reports and has families sign off as required according to Autism Ontario policies.
  • Other tasks as directed by the Chapter Manager.

Qualifications:

  • Experience working with a charitable organization, volunteers and community partners.
  • Previous experience with a busy, multi-age day camp.
  • Previous experience working with individuals with autism.
  • Excellent customer service/public relations experience.
  • Equivalent combination of education and experience will be considered.
  • A proven track record of working with community service providers within a not-for-profit organization.
  • Demonstrated experience managing multiple projects or programs; strong attention to detail.
  • Strong written and verbal communication skills are required as is the ability to work collaboratively with partners and stakeholders.
  • Must be proficient with various computer programs in including data base

management, Microsoft office application and have familiarity with social media.

  • Must be self-motivated, innovative and flexible.
  • A valid Ontario driver’s license and access to a vehicle is required from time.
