Attendees: Ken, Jim, John S, Laurie R, Jan F, John R, Carl

Meeting was convened at 7:11 pm.

1. Minutes were reviewed. Carl moved to approve minutes, John R seconded.Minutes were approved unanimously. Minutes will be posted to the website.

2. Treasurer’s report. We paid off the small amount of Whitewater debt. We’re doing well in terms of income and registration.

3. Meet Director’s Report. We discussed reimbursing meet officials that do all four sessions. Other teams often roll this expense into meet hosting. Thirty miles from home was the minimum distance that we should consider for reimbursement. We don’t want our super volunteers to have to pay for hotels and a bunch of meals. We agreed that we’d reimburse for these volunteers.

We need two leads for Awards and Concessions for the Senior Sectionals meet in March. We will do some in person recruiting.

For November AGI, the time standards changed so Laurie needs to rebuild the meet file. We need timing console operator and an administrative official.

4. Social and Events Coordinator Report. Trying to nail down a holiday decorating party, probably the Saturday of Senior Champs. Last year we did at MSC and looking at doing at that location again. Lee Fenster wants to help lead this activity. For the holiday movie, Jan is looking at Pacific Place again. Might be around $1800 for total cost. The movie is called SwimTeam and it’s about a swim team with autistic kids. For the CAAT Banquet, Jan is looking for a bigger venue, including South Park Community Center. We’d have to bring in AV equipment and screen. Other options are the Seattle Design Center or South Seattle Community College.

5. Coaches’ Report. New manager at Medgar Evers is good to work with, wants to feed the private lesson program at ME. Things are going well at Tukwila, got some new dryland equipment. MSC Lite program is moving forward at MSC, get about 3-4 swimmers/d. There are two new coach hires. We had a good turnout for the October meets. Senior Challenge meets have been easy and fun. Ken has been videotaping swimmers and reviewing stroke technique and pacing (working on 3rd 50’s!). Ken and Joon attended a USA Swimming webinar today, which focused on outreach to under-represented minorities. They suggested piggybacking on other outreach programs. Saturday practice schedules are up now. Clinics are also starting back up in November.

6. HR Policy. Ken asked to add all of the USA Swimming requirements, such as being lifeguard certification. Ken also wanted to have a firm policy for paid paternity leave and travel reimbursement. John did some research and found that employees who were with organization <1 yr get 50% paid for 4 weeks, 1-5 yrs paid at 75% and then 5+ yrs get 100% paid for 4 weeks. This is for salaried employees. For hourly employees, we’d take the trailing six months and take average hours and paid off that rate (excluding August when we’re off). The same percentages apply for years of service. We also thought that adoption counts for maternity/paternity leave.

7.BOX training. We’ve purchased 25 software licenses and are waiting for this to get downloaded to Jim. It cost $85/yr. We had a discussion about organization and taxonomy. How much personal information should be on Box? We decided that we should not have credit card numbers, passwords, or financial information on Box for now.

8. Diversity and Inclusion Report. We have some families where the children are the primary point of contact, usually because of language issues. Joon just asked us to be sensitive to this issue. There is some liability if the child is signing legal documents. One idea is to have a “family buddy” that helps this family navigate the swimming world.

9. President’s Report.For ePACT, Jim is updating the list in waves. There are still 90 who need to fill it out. We talked about a carrot vs. stick approach. There is renewed interest in building a new pool; stay tuned! For offsite meeting, we’re still planning on February sometime.
