GENERAL REQUIREMENTS – APPLICABLE TO ALL LINES ON THIS BID:
Where brand names/models are listed, it is for comparison purposes, and not intended to limit bidding. Alternative products meeting or exceeding the specifications may be bid.
If alternates are bid, product specifications/literature should be submitted with your bid for evaluation.
All furniture kits shall be new, unused, and a currently standard product of an established manufacturer, except for such deviations as may be required by these specifications.
Furniture kits are to be shipped unassembled in component form. Kits are to include all components, parts, accessories, including foam and foam specifications and all hardware which will constitute a complete assembly. Fabric is not to be included.
Kits shall present a neat, well-finished appearance when assembled, and shall be free from all manufacturer’s imperfections and/or defects which might affect appearance, normal life, or serviceability.
Chair kits, when assembled, shall have all specified adjustments and are to be contoured for comfort and body support. All seating shall be designed for “heavy-duty” use.
“Heavy-Duty” and other definition not detailed herein shall conform to standard commercial practices for product of this type.
The successful bidder(s) shall agree as follows:
1) If requested, to provide technical support at Prison Enterprises’ manufacturing facilities to train staff and workers in the production of furniture and upholstery techniques.
2) If requested, to provide training for Prison Enterprises sales staff to include information on product features and benefits.
3) To provide a part-by-part componentry of each item bid, suitable for use at the manufacturing level, including assembly procedures. This information is to be provided within 30 days of notification of award.
4) To provide a plan of action which will include, but not be limited, to delivery time-frame and shipping method for replacement of defective chair components and back-ordered components.
5) To provide a minimum of 500 color brochures per chair model for incorporation into Prison Enterprises Marketing material per contract year. Cost for additional color brochures over 500:

DELIVERY:
Items are to be called for as needed by the agency. Do not deliver all or any portion of this contract after award until called for.
Deliveries accepted Monday through Friday, 7 AM – 2 PM, excluding holidays.
SHIPPING:
Items are to be packed so as to not be damaged in any way. Agency will not accept damaged goods. Packing slip/invoice must accompany each price list for spare parts orders.
Bidders should submit with their bid response a list of component parts by line number (along with part numbers) that will constitute a complete assembly of that kit, based on the minimum specifications outlined elsewhere in the document. Each component part is to be priced individually, to allow the agency to order replacement parts as needed. *This parts list and accompanying prices shall be made a part of any subsequent purchase order contract(s) that are awarded.
Bidders shall not submit a catalog for evaluation. Price lists should be created specifically for this bid, and include only those parts applicable to lines on this solicitation.
Price list furnished should facilitate spare parts orders. This list does not replace the formal bid document for lines listed on the bid. Full kits as specified should be priced on bid.

29” Height Hard Plastic Top Cantilever Desk
Fixed Height – Cantilever Desk Frame consists of ¾” x 1-1/2” O.D. 14 gauge elliptical steel tubing welded to a heavy 11-gauge mouonting bracket. Frame will be nickel-chrome plated or finished in powder-coat paint after all welding processes are complete. Frames fasten to top with K5O 2.24 x 13mm Torx head screws for hard plastic tops. Frames fasten to top with #12 x ¾” Phillips pan head screws for laminate tops.
Solid hard plastic, molded thermoset plastic with pencil groove or high-density particleboard core covered with .030’ high-pressure laminate top and .020” phenolic backing sheet and 73P polypropylene edge. Curved front worksurfaces shall have comfort curve on user side and 2-3/8” radius corners and measure 19” x 26”. Hard plastic top is 5/8” thick.

SHELL: One-piece contoured shell shall be made of static-free high-impact polypropylene. Colorfastness ensured through complete color impregnation throughout the molded part. Strength and durability are assured through an engineered internal structural cavity which eliminates the need for unsightly ribs on the back of the shell. Rolled edges for comfort and strength. Textured front and back. Wide, ergonomic handle molded into chair back for ease of mobility. Shell fastens to frame with size ¼ 20 x 5/8 Torx head screws. Upholstered chairs have partially exposed polypropylene surfaces. Fabric is upholstered over 9/16” foam on the back and seat and fastened to an inner shell with screws. Back upholstery covers handle.

“VERSA” Minimum Specifications:
Seat: To be compound-curved, 5-ply, 3/8” thick poplar hardwood. Will fasten to the frame with four screws through t-nuts embedded in wood seat. A molded polyfoam cushion is to be glued to the seat board.
Back: Backrest is to be two-piece construction. To be compound-curved, molded 9-ply hardwood plywood, will fasten to the frame with four screws through nylon plugs in the wood backrest. Backrest to consist of 1-1/2” molded polyfoam cushing that will be glued to the backrest, a ¼” thick padding and 3-ply 3/16” thick poplar. The backrest will be attached with 3 steel fasteners and 2 steel rivet fasteners.
Frame: To consist of legs of 1” O.D. x 16-gauge tubular steel. The “Kick-Back” rear legs on the four-leg model are to increase integrity and to add stability. Side members will be of 1” O.D. x 14 gauge steel. Cross members are to be made of 1” O.D. x 14-gauge tubular steel. Legs are to be joined to the side members by brazing, and all other joints are to be robotically welded.
Arms: Armrests are to be made of polycarbonate/polystyrene. Ganger is to be fastened to the armrest and chrome-finished. Only armchairswill be ganged.
Standard Tube End Caps: To be molded plastic. Color black.
Standard Floor Glides: Chrome-plated steel.
Finish: Frame finish to be baked-on electronstatically-applied epoxy powder coated or bright nickel-chrome plated.
Dimensions: Overall width, depth and height to be: 23-7/8” wide (20-1/4” without arms) x 23-7/8” deep x 32-3/4” tall. Seat to be 17-1/2” wide x 19-1/2” deep. The non-sled-based chairs are to be able to be stacked on a “Versa” (or equal) transport dolly up to a maximum to order replacement parts as needed.

Successful vendor is to keep a record of all orders issued against this contract during the contract period. Approximately four (4) months prior to the end of the contract period, the vendor is to be prepared to submit to the office of State Procurement a contract usage report.
The usage report is to include the vendor’s name, phone and fax numbers, the persons who compiled the report and a summary “by line item” indicating quantity purchased.
