DBS CERTIFICATES

In order to complete your course of study with The Manchester College you are required to complete a Work Placement. A condition of your placement is that you must complete a Disclosure and Barring (DBS) check. This is a requirement for any work placement that involves working with children, young people or vulnerable adults.

It is your responsibility to ensure you complete the DBS form accurately and to include all information requested. On completion of your DBS application form, the College will forward the application to the DBS.

Depending on the nature of the placement, an enhanced DBS check may be required which includes a check of the relevant barred lists. The barred lists are lists of individuals who are unsuitable for working with adults or children. People on the barred list cannot do certain types of work. Individuals will know if they are included on a barred list. A person who is barred from working with children or vulnerable adults will be breaking the law if they work, volunteer or seek a placement with those groups.

The DBS certificate will be sent to your home address only. The College will not receive a copy of the DBS certificate. When you receive your certificate it is your responsibility to submit your original DBS certificate to your Personal Tutor within 5 days of receiving your certificate. We will make a copy fo your DBS certificate.

Satisfactory DBS check:

  1. Counter-signatory will advise student and Personal Tutor via the LIP when the satisfactory check has been completed.
  2. The disclosure is filed by the Counter-Signatory for a period of six months
  3. After six months, the Counter-Signatory will arrange for all paperwork to be shredded appropriately.

Unsatisfactory DBS check:

Should a disclosure counter-signatory check judge the DBS certificate to be unsatisfactory, the College will arrange a meeting with your Personal Tutor and a Head of Department under the College’s Criminal Convictions, Pending Sentencing and Bail Conditions Policy and Procedure to complete a CCDRA (Appendix 6) to assess your ongoing suitability for the course. You will be advised of the outcome of the meeting in writing.

It is important that students understand that having a criminal record will not necessarily bar people from studying on a course that requires a placement at The Manchester College. We consider any information disclosed in a sensitive and confidential matter. In determining the students suitability for placement, we will consider the details of the offence or information contained in the DBS certificate, the time lapsed and the nature of the placement. If we determine that the information revealed/disclosed means that the student is not suitable for the placement, we will then consider withdrawing the place and, as necessary, offer a GAWs (Guidance and Welfare Service interview) to discuss alternative options.

Please note if you do not present your certificate to your Personal Tutor this couldresult in you being unable to successfully complete your course of study as you are required to have a DBS certificate to undertake a work placement.

It is the responsibility of the student to ensure a satisfactory DBS counter-signatory check has been completed prior to starting any work placement as a part of their college course with The Manchester College.

If your placement and/or college course is withdrawn following completion of the CCDRA process you will be advised in writing. You will have 10 days of receipt of the letter to appeal the outcome of the process (Appendix 7).

DBS UPDATE SERVICE

In June 2013 the DBS launched an Update Service which individuals can choose to subscribe. Subscribing to the Service entitles you to have your DBS certificate kept up to date and potentially use the same disclosure certificate between organisations (including voluntary organisations) providing you are undertaking the same type of work.

If you would like to subscribe to the Update Service upon receipt of your certificate you will have 14 days to join. The cost to subscribe to the update service will be £13.00 per year which is a personal charge to yourself.

Please note the College does not require you to join the Update Service and will not reimburse any annual subscription fee.
