PURPOSE OF THE JOB
The role of the Clerk to Governors is to provide high levels of support and guidance to the work of the governing body enabling the school to function effectively and promoting the school vision, ethos and values in all aspects of school life.
Hours of work:
Variable hours structured around the Governing Body and Sub-Committee meetings, which will require attendance at evening meetings. Hours of work paid on timesheet.
RESPONSIBLE FOR THE FOLLOWING ASPECTS:
  • Co-ordination of the governing body
  • Administration linked to the work of the governing body
  • Ensuring the governing body meets legal and statutory requirements

2. Clerking
2.1Co-ordinating a clear meeting calendar that provides clear and accurate information on all aspects of school life
2.2To undertake routine clerical and word-processing duties, including correspondence as required
2.3Photocopying for Governors as required
2.4Collating and distributing correspondence and other documentation to the Governing Body
2.5Ensuring all documents relevant to Governing Body Meetings are sent at least one week in advance
2.6Encouraging and monitoring the role of Governors in school ensuring regular visits are undertaken
2.7Ensuring all filing and record keeping is kept up to date and that confidential documents are locked away
3.Research and information
3.1Ensuring the governing body are kept up to date with any changes in their responsibilities
3.2Advising Governors on their duties and researching any information that requires further clarification
4. Child protection and behaviour management
4.1Ensuring that the school maintains and further develops the equal opportunities and inclusion policies
4.2Maintaining a high level of morale and good behaviour within the school reviewing and developing behaviour policy and practice as part of this
4.3Promoting and safeguarding the welfare of children and young persons within the school
5. General
To undertake any other duties deemed reasonable by the Chair of Governors.
conditions of service:
  • The post is subject to the School’s policy of 6 month Probationary Period. Targets for completion during Probationary Period will be shared during the Induction Meeting.
  • Performance appraisals are carried out at least every year. These are used to reflect on strengths and weaknesses, and to identify targets and relevant training needs.The post holder is expected to engage openly with this process.
  • Participate in regular briefings and meetings linked to the work of the school
  • Take part in performance management and staff development activities maintaining documents relating to personal performance
  • Contributing to the appointment and professional development of other staff

Qualifications & Training

/ English GCSE grade C or above (or equivalent) / Business or secretarial qualification
Competence Summary
(Knowledge, abilities, skills, experience) / Experience of writing agendas and accurate concise minutes.
Ability to maintain efficient record keeping systems.
Good word-processing and emailing skills.
Ability to interrogate internet. / Knowledge of school governing body legislation and procedures.
A good understanding of the management processes in a school.
Ability to develop and maintain contacts with outside agencies e.g. LA, church authorities, DCSF
