VENUE ACCESS & COMP LIST INSTRUCTIONS

ACCESS TO THE VENUE WILL ONLY BE GRANTED TO NAMES ON THE VENUE ACCESS & COMP LIST.

We recommend downloading the excel template as soon as possible and using it to track your requests as they come in. List due 48 hours prior to your event.

  1. Header show information: Click on “Show Title, Producer and Event Date” field to add to these items. This will show at the top of all pages.
  2. Include every name or party:
  3. FULL VENUE and PLAZA access levels: Each person must be listed individually
  4. Other access levels: Each party must be listed with corresponding # of tickets
  5. If someone with FULL VENUE or PLAZA access will also require a seat in the house at any point, add “1” under # of tickets by that person’s name. (must pick up ticket at will call)
  6. Include an email address for producer comps: Only used to send “Know Before You Go” email to your guests 48 hours prior to event. Includes important show and venue information.
  7. Select ACCESS LEVEL: Once you select a cell, use arrow at bottom right of cell to access drop down list. If dropdown list not accessible, use color key to manually color code each entry. You must select one of the options provided.

ACCESS LEVEL Definitions:

A. Full Venue Access (default, full access)—full access to venue (ex: producing team, artists, crew)

  • Listed individually by name
  • If someone with FULL VENUE access needs a house seat too, put “1” under # of tickets
  • Must enter via Artist’s Entrance

B. Plaza Access— early access to plaza (ex: vendors, sponsors, staff, volunteers, etc.) to set up merchandise, host sponsorship table, set up reception, etc.

  • Listed individually by name
  • No stage or backstage access
  • Must be completely set up before gates open
  • If someone with PLAZA access needs a house seat as well, put “1” under # of tickets
  • Must enter via Artist’s Entrance

C. Media-Seated—media arranged by you or your publicist who require a seat and will not be taking photo/video

  • Listed by party with corresponding # of tickets
  • No early venue access
  • Must enter via Front Gate and be met by someone from your team
  • Must notify and coordinate with Ford’s Marketing department in advance

D. Media, Photo/Video—media arranged by you or your publicist who will not require a seat and will only be taking photos or shooting video

  • Listed by party with corresponding # of tickets
  • No early venue access
  • Must enter via Front Gate and be met by someone from your team
  • Must notify and coordinate with Ford’s Marketing department in advance

E. Green Room Guest Access—comp tickets, including green room access (ex: artist/crew guests)

  • Listed by party with corresponding # of tickets, NOT listed under artist’s name
  • Green Room capacity is very limited. Access only permitted pre-show and during show (no post-show access).
  • No early venue access
  • Must enter via Front Gate

F. Comp Tickets Only—comp tickets only (ex: producer/artist comps)

  • Listed by party with corresponding # of tickets, NOT listed under artist’s name
  • Tickets available at Will Call at the box office
  • No early venue access
  • Must enter via Front Gate

ACCESS LEVEL Venue Access (where to enter the Ford depending on access level):

A. Front Gate
ACCESS LEVEL: Green Room Guest, Media, Comp Tickets Only
Located at the main gate next to the box office, this entry is for patrons (including your comps), media (reviewers, photographers, TV crews, your archival photo/video crew, etc.), green room guests (talent managers, agents, etc., who also have seats to watch the show). Gates open two hours before show. Early access not permitted.

B. Artist’s Entrance
ACCESS LEVEL: Full Venue Access, Plaza Access
Located at the back driveway, this entry is for those who need early access to the plaza (vendors, sponsors, staff and volunteers) and/or the stage (producers, talent, designers, staff and crew). Guests of artists not permitted to enter the venue prior to gates opening. All guests use front gate.
Note: anyone with FULL VENUE or PLAZA access who also needs a comp ticket must pick up ticket at box office before show, or someone from producing team may pick up and distribute tickets

  1. Comp ticket information: Input # of tickets and, if applicable, desired seating tier
  2. Put total number of tickets needed for person/party including person listed
  3. If someone with FULL VENUE or PLAZA access plans to enter the house and/or take a seat at any time during the event, you must request a comp ticket in addition to listing the person’s name. Add “1” under # of tickets. Ticket must be picked up at box office before show begins.
  4. Tickets for guests of a performer should be listed under the guest’s name, not the performer’s name
  5. Valid ID must be shown to pick up ticket(s). Name on the ID must match name on list.
  6. If you have arranged ticket giveaways via radio stations or social media, please include names of winners on list (COMP TICKETS ONLY). Add name of organization/station.
  7. Add to the Notes section:
  8. Special arrival time, parking needs or instructions
  9. Who should be seated with whom, specific seat locations
  10. Name of press outlet and, if applicable, specific seat locations for press
  11. Anything else the Ford might need to know about this person/guest
