AQR5iv - Application for extension of submission of work after the Final Awards Board
All assessed work required from learners for certification should be completed before the Awards Board. Learners who are unable to complete on time due to exceptional circumstances[1], may formally apply for an extension. Students requesting an extension and who have applied to enteruniversity in September of the same year may at the discretion of the external moderator have a deadline of up to July 31to submit the completed work.In exceptional circumstances students not applying to enter university in the same calendar year, may at the discretion of the external moderator be granted a deadline for submission of completed work up to 31st August. Requests for extensions are proposed, on the learner’s behalf, to the external moderator by the centre co-ordinator. If the external moderator agrees then this application is presented to the Final Awards Board for their consideration.
How to make an application
- The attached form should be completed by the student and endorsed by the Access Co-ordinatorfor cases where the provider wishes to support an extension beyond the Final Awards Board date, to allow the student to complete in the current year of study. The Access Co-ordinator may refuse to accept a request for an extension. Where this happens the reasons for the refusal must be clearly explained in writing to the student.
- The completed form should be submitted to the AVA external moderator before the Final Awards Board.
- The Application for Extension will be considered at the Final Awards Board, where the recommendations of the external moderator and Access programme co-ordinator will be considered. Confidentiality should be respected.
- The decision taken by the Awards Board will be recorded in the minutes.
- The Access Co-ordinator will undertake to
- ensure that the student is informed of the decision and the actions required by them
- make arrangements for the assessment of the outstanding work within 5 working days of submission
- inform the external moderator of the outcome of the extension, to agree that the student’s RAC may now be forwarded to the AVA. An e-mail from the external moderator confirming this will be deemed sufficient, enabling the co-ordinator to forward this confirmation of satisfactory completion, or otherwise, to the Registrations and Certification officer in the LASER Access officewithin 5 working days of July 31 at the latest
- alert the Chair of the Final Awards Board that the Award of the Diplomaoutcome of the extension has been approved by the external moderator

Please submit this pro-forma to the external moderator with sections A, B and C completed before the Final Awards Board. The partially completed form should then be retained by the Access Coordinator until the work is submitted.
After the work has been assessed, the External Moderator[3] should complete section D.The completed pro-forma should then be returned as soon as the outcome is known, by either the moderator or the Access Coordinator, to the AVA in order to allow for the timely certification of results for the learner

[1]Exceptional circumstances would normally include serious illness of the learner or a close family member; a close family bereavement; any other unforeseen serious circumstance beyond the learner’s control which prevented the learner from being able to meet the standard deadline for the completion of work.
[2] Unit grade(s) achieved must be recorded on the Recommendation for the Award (RAC) form as appropriate
[3]If the external moderator is unavailable the Access Coordinator may sign here but the AVA Access office must be contacted as soon possible to explain why this has happened to ensure that the certification can be released for the student.
