Headlong Administrative Assistant

Part-time(20 hours per week)

8th July – 27th September 2013

As administrative assistant you will form a key part of the small Headlong team, ensuring that our work is fully supported and that the office and productions are professionally run.

Responsible to the Assistant Producers, your duties will include:

Office Administration

  • To be responsible for incoming mail and phone calls and to manage the info@headlong email account, responding to general enquires
  • To ensure the office is a welcoming space for staff and guests
  • To keep the photocopier room clean and tidy and monitor stationery levels
  • To update and maintain the company database and office handbook
  • To carry out diary management for the Artistic Director, Executive Producer and Associate Director where required
  • To administrate all staff expenditure, petty cash and credit card reconciliations
  • To keep an up-to-date Headlong press quote sheet and file relevant company press
  • To provide customer support to patrons booking tickets through the Headlong website

Production

  • To research, visit and book rehearsal spaces and audition rooms
  • To compile information packs for forthcoming productions
  • To help collate information for production programmes
  • To support productions in rehearsals by printing scripts, sourcing props and running errands
  • To assist in maintaining production deal sheets and contact sheets
  • To file all production press, compiling a press pack at the end of the run
  • To assist in organising the press performance – guest list, invitations, managing RSVPS, party venue and company gifts
  • To book company travel and accommodation, working to a budget set by the Assistant Producer
  • To assist in administrating education work as required

General

  • To assist in organising events such as the Headlong summer party
  • Any other administrative duties as may be required to support Headlong’s work

  • An interest in pursuing a career within theatre administration
  • Pro-active, enthusiastic and self-motivated
  • Very accurate with an excellent eye for detail
  • Highly-organised with a systematic approach
  • IT literate
  • Confident at dealing with people
  • Able to work quickly in pressured situations
  • A welcoming, professional and supportive manner

Desirable:

  • Educated to degree level
  • Experience of working in an administrative capacity within an office environment
