How to Reserve Common Areas in the Residence Halls during the Academic Year

(all spaces reserved by Conference Services during the summer)

Three categories of people are permitted to reserve common areas in the residence halls:

1. Residential student organizations and staff (such as Academic Services and Residential Living student staff, hall association staff and leaders, and health workers). Programs must be fore the benefit of unit residents, and student staff may not reserve common areas for purposes outside of their residential roles (for example, for a campus club to which the student belongs).

3. Campus staff and departments

Student organizations from campus are not permitted to reserve common areas of the residence halls, due to the inability of residence hall staff to hold non-residential students accountable for misuse of spaces, and the priority for usage of space for residential programs. Registered student groups should reserve space on campus by calling classroom scheduling at 642-0313.

FOR RESIDENTIAL STUDENT LEADERS (hall staff,

Academic Services staff, Hall Association leaders):

1. Contact your Resident Director, Academic Program Coordinator, or RL Assistant Director.

2. Tell them about your program, your intended goals, what you’re planning and what it will entail.

3. Listen to their counsel and advice on the best ways to make your program successful. They are well-versed in how to pay for things with hall association funds, who to contact for catering in the units (Natalie Lui in Cal Dining, 2-9217), safety and security in the halls for after hours events, publicity methods, etc.

4. Once the OSD professional staff has discussed your program with you, they will: 1) create the room reservation (online), 2) possibly ask you to fill out a form with your room needs, and 3) communicate with the facilities people what your needs are for set up, take down, trash, etc. They will have expectations of you of how your program will run, follow up on what you need to do on your program, your attendance at the event, etc.

FOR RSSB STAFF:

1. Contact the Unit front desk of the unit where you want to reserve the room. You can contact them in person, by phone, by email. The current contacts are:

2. Specify the date and times you need

3. They will let you know of availabilities

4. They may discuss your set up, take down, trash needs, etc.

FOR CAMPUS STAFF and DEPARTMENTS:

1. Contact the Unit front desk of the unit where you want to reserve the room. You can contact them in person, by phone, by email. The current contacts are:

Unit 3: Susana Wong, 2-5391,

Unit 4: Phyllis Broadnax, 2-9703,

CKC: Contact Cal Dining, Natalie Lui, 2-9217

2. Specify the date and times you need

3. They will let you know of availabilities and appropriate rooms for your meetings

4. They will discuss your set up, take down trash needs, etc.

5. They will apprise you of the rental rates for various rooms, and issue an IOC to you for payment. You will need to supply a chart string number.

Reservable spaces in the residence halls include:

Unit 1: Central Building L20, L29, L31, All Purpose Room, Slottman L14,

L05, L11, L12, Christian L18, L07, L13

Unit 2: Central Building L20, L29, L31, All Purpose Room, Towle L03, L06,

L07, L11 and L17 and Wada L08, L09, L13, L15.

Unit 3: All Purpose Room (L40), Classroom (L15B) and Library (L45).

Unit 4: Academic Services Center Spaces include the Foothill Assembly

Room (4314), Foothill TV Lounge, Recreation Room, Classroom A (4301)

and Classroom B (4302).
