LIANZA Ikaroa Regional Committee Meeting minutes

Massey University Library, Palmerston North

5:30pm Wednesday 7th October 2015

I. Present: Amanda Curnow, Katherine Chisholm, Maureen Roache, Heather Manning, Robyn Wilson, Gwen Basley. Kim Salamonson had problems connecting via Skype – he could hear us but we couldn’t hear him. Amanda chaired the meeting.

II. Apologies: Danae Etches.

III. Agenda review – nothing to add.

IV. Approve previous committee meeting minutes: Amanda moved, Katherine seconded. Carried.

V. Matters arising, previous minutes, not noted below : Conference feedback session later in year. AGM went well. ACTION: Katherine to find receipts for reimbursement of AGM wine.

VI. Treasurer’s Report: Katherine presented her report verbally. She had met with Joanna Matthews from the office. LIANZA have moved to having one bank account with SIGS and Regions as cost centres. Joanna to provide Katherine with cost codes. Anne Buck is revising code areas. LIANZA looking at asking regions to be funded by annual budget applications, rather than capitation. A discussion document will be circulated about this.

VII. Councillor’s Report: Amanda reported there has only been one meeting since we last met, September as August’s was cancelled due to substantial apologies and the Future of Libraries meeting then.

Future of Libraries:

Report has gone up on Recollect. It is a living document so look around the site and comment if you wish. You will have received your login, but if you’ve lost it, email the office again. Next steps are to bring decision makers such as senior library leaders to drive actions forward.

Where you can help: Initially it would be fantastic if you could help us get some stories from your regions up on Recollect where you know amazing stuff is happening so that we can encourage participation on the site.

Libraries Aotearoa / Brand Libraries

Next phase – grass roots activism! I’m hoping to take the lead alongside Vye Perrone and some ‘ambassadors’ Ann-Louise Vonk and Maria Brewerton form South Taranaki to workshop through some engagement packs. Talking with Joanna Matthew about the next steps this week and possibly doing a pilot through South Taranaki libraries with Cath Sheard.

Children’s Book Awards

Feedback has been received and passed on. Generally favourable with a few provisos, such as keeping librarians choice award etc, and ensuring as much branding/profile is retained.

Councillor Visit

Visit to South Taranaki library, Hawera LibraryPlus to check out the school holiday programme. Post written to be published in Library Life Conference edition.

Amanda offered to have a session showing people how to contribute to Recollect site. Include with Christmas party at City Library? Could we use the 3D printers and print a Xmas decoration? Include some Conference feedback. Early December – suggest weds 2nd Dec. ACTION: Gwen will look after catering. $10 per head. Christmassy nibbles (eg Not now James), few bottles of bubbly. ACTION: Robyn will check and confirm the venue. ACTION: Amanda will send out notice, and RSVPs to her.

VIII. Round the Regions Report (Danae and Maureen/Kim)

Danae sent her report via email:

· As mentioned by Amanda last meeting our local library network were graced with a great double presidential visit back in July. If LIANZA touring again at any point in 2016 South Taranaki were keen to host so they may offer again next time around.

· This evening is the informal Taranaki Pubrarians gathering (which Danae informally co-ordinates) – we meet 1st Wed of each month 5.30pm-7pm @ The Good Home, New Plymouth. Can be up to around 7 or so of us from across the library & info spectrum -public, school, polytechnic and not for profit org (that’s me).

· On the Public Library front:

· North Taranaki: as you may know New Plymouth District Council staffing structure changes are impacting on Puke Ariki & District Libraries. As I understand it, senior leadership positions have been disestablished & new ones created, including a new cultural senior management position across the gallery, museum & libraries

· Central Taranaki: Stratford Libraries are busy with school holiday programmes at present & are looking towards a major library renovation & extension project scheduled to start in early 2016. This may entail them shifting to temp premises while building is underway.

· South Taranaki – South Taranaki Libraries have a lot of great things happening – Cath sent me an update for you all today: library staff are excited that a new community centre, including a library, has been approved in the long term plan. Hawera staff are already thinking about what they want in this $6m facility. The libraries have been focussed on technology for the holidays and have enjoyed using Raspberry Pi, are doing 3D printing this week, and have been “unmaking” (pulling old technology apart). The kids love taking things apart to see what’s in them, and it starts great conversations. Also in the good news realm, Lis Marrow started as Branch Librarian at Eltham and Kaponga this week. Lis was Librarian at Hutt International Boy’s School, and also has a public library background. Staff are all really looking forward to LIANZA conference. There are six attending, and four presenting, so it will be a busy few days. Finally, Ann-Louise Vonk has done incredibly well on the LIANZA Kōtuku Emerging Leaders programme and is set to graduate while at conference. Cath is really proud of her for the effort she has put in, the depth of her learning, and her determination to use her new leadership skills.

Maureen reported – Napier city library will be closed from 16 Oct – 16 Nov, for re-paint and re-carpet throughout public floors. Taradale branch will be open. Napier library has had a couple of security issues over the last few weeks with teenagers misbehaving.

IX. Local News: National Library PNth will close in December. ACTION: Heather will organise to send a card from Ikaroa region committee.

X. Industry News: check out Library Life re the strategic plan.

XI. Kotuku Sponsorship – message from Lynley that we not offer it until the person has been accepted. After conference – revisit.

XI. Pull up Banner / Logo: Amanda provided some costings for the logo design. Consensus that we use a local designer rather than competition from members. We have the original designs that we could take as a starting point. Amanda proposed a small sub-committee approach the designer. ACTION: Robyn will coordinate together with Gwen. We need to be quite clear about the money we have available (suggest maximum $200?). The cost of producing the banner would be additional to this. Kim to check cost. (see email from Kim 8.10.15 – offer is still available, and cost approx. $300) Aim to have it held centrally but able to be couriered to Hawkes Bay or Taranaki etc. Possibly total cost $400-$500.

XIII. Events planning: for next 9-12 months.

i.) Survey? – combine with Libraries Aotearoa workshop?

ii.) Lib Assist Day – do we have enough “library assistants” to attract? Combine with hui – open to all.

iii.) 2-3 day Weekend Hui next year

iv.) Associateship Seminar early next year

Need to consider PD for new library workers. New Librarians Symposium in Australia is proving very popular. Anyone welcome. Need to brainstorm further to develop what we want. Could bring in speakers from outside area. Barcamp type sessions. May-June next year?

Associateship seminar in February? Amanda Cooper from Massey (Albany) has offered to run this. Advertise now to drum up interest. Do by webinar. Access from Taranaki and Hawkes Bay. ACTION: Amanda to contact Amanda to organise. Aiming for 1st or 2nd week of Feb. (9th, 10th or 11th?)

XIV. AOB : Copyright session – could do as a webinar as well.

Current plan:

Conference feedback/intro to Recollect/Xmas party. December.

Associateship webinar February.

Hui – mid year.

Next committee meeting – focus on the hui development, so that we can take to a sub-committee including shoulder tapping extra helpers (off committee).

Need clearer idea of audience and content, themes. Logistics, venue, presenters. LIANZA office help with registrations, do we charge? Cater?.
