12:30pm Immediately after eating lunch,

-Begin the check-in process in the PAC

1:30pm Leave for Portland

Eat dinner en route or at Clackamas Mall

7:30pm Arrive at Portland International Airport at least 2.5 hours before your flight. Check in with United Airlines and proceed through security to your departure gate.

DAY ONE: Saturday, April 9, 2016 – ARRIVE INTO NEW YORK CITY!

7:10am Arrive into New York. Move to baggage claim where you will be met by a World Projects staff member who will direct you to your coaches. Transfer to the Hilton, New York Midtown.

~9:00am ETA - Arrive at the Hilton, New York, Midtown. You will be met by a World Projects staff member who will guide you to your arranged baggage storage area.

9:30 – 10ish Leave with morning optional activity group for breakfast and destination.

12:30 Meet at Hotel and congregate with afternoon optional activity group for lunch and destination

4:30pm Return to the lobby of the hotel, obtain room keys and check in.

Note: The hotel will make every effort to have keys available upon the group’s return; however not all rooms may be ready at this time. Your patience is appreciated.

Evening: Dinner on own, in the Times Square area.

6:00pm Return to Hotel and change into formal attire for Madame Butterfly J (*Semi-Formal)

7:00pm Assemble in the lobby and walk to Lincoln Center

8:00pm Attend the performance of Madame Butterfly at the MET Opera.

DAY TWO: Sunday, April 10, 2016 – NEW YORK CITY (D) – Workshop & Commissioned Piece Rehearsal

Morning: Breakfast on your own in the vicinity of the hotel.

9:10am Assemble at the entrance of the Mercury Ballroom, 3rd floor of the Hilton, New York, Midtown

9:15am Warm Up, Stage Plot confirmation

9:30-10:30am Enjoy a Workshop with Maestro Johan de Meij

Secure your instruments in your rooms.

11-1pm Lunch on your own.

1-2pm Return to rooms to get ready for show (*Semi-Formal)

2:00pm Assemble in the lobby of the hotel and walk to the Gershwin Theater, 222 West 51st St

3:00pm Enjoy the Broadway Production of Wicked

6:25pm After the show, meet at John’s Pizzeria at 260 West 44th St

6:30pm Enjoy Dinner as a group at John’s Pizzeria.

8:15pm *CHAMBER ORCHESTRA +MB* Assemble in the Mercury Ballroom, warm up

8:30-10:00pm *CHAMBER ORCHESTRA +MB* “As Summer Passed” Rehearsal with Dr. John Carnahan

DAY THREE: Monday, April 11, 2016 – NEW YORK CITY (D) -Outdoor Performance

8:00 – 10:00am: Breakfast on your own in the vicinity of the hotel.

10:30 - 11:10am Be dressed in uniform with instrument at hotel for Central Park Performance

11:30am Load coaches and transfer to Central Park

Arrive at Central Park, corners of 5th Ave & 72nd Street, you will be met by a World Projects Staff member who will escort you to the Band Shell

~12:30–12:50pm Outdoor Performance at Naumberg Band Shell in Central Park

1:00pm Load coaches and return to the hotel, secure instruments

1:45 – 4:45 Lunch on own in the area & shopping / walking NY / times square / Grand Central Station / Library

4:45 – 5:45 Return to hotel and prepare for the Cruise (*Semi-Formal)

5:45pm Assemble in the lobby of the hotel, load coaches and transfer to

Spirit Cruise, Chelsea Piers for the DJ Dance / Dinner Cruise.

6:30pm Boarding (2 busses – one for GPHS only, other shared with 13 GPHS students and Queensland Big Band)

7:00-10:00pm Enjoy the DJ Dance / Dinner Cruise

Following the cruise, load coaches and return to the hotel.


DAY FOUR: Tuesday, April 12, 2016 – NEW YORK CITY (D) – Carnegie Hall Performance

7:00 – 8:00: Breakfast on your own in the vicinity of the hotel.

8:00 – 9:00: Change into performance attire

9:15am Assemble in the lobby in performance attire with instruments.

Walk across the street to Carnegie Hall.

Arrive at Carnegie Hall, you will be escorted to your warm up area

10:00 – 10:25 Sound Check on stage at Carnegie Hall

Following your sound check, store instruments in your warm up room.

Depart via the 56th St stage door entrance.

(Times) Lunch on own in the area.

12:30pm Assemble at the main entrance to Carnegie Hall on 57th St.

You will begin the concert seated in the House.

1:00pm Afternoon Adjudicated Concert in the Isaac Stern Auditorium / Perelman Stage, Carnegie Hall.

~1:55pm A World Projects representative will pull your group from the house and escort them backstage

~2:35-3:00pm Orchestra performance as part of the Afternoon Adjudicated Concert in Isaac Stern Auditorium, Carnegie Hall!

After your performance, return to your warm up area, collect all belongings and depart via the 56th St stage door entrance. Return to the hotel and secure your instruments

3:30-5:15pm Change out of uniform and into Semi-Formal attire.

5:15pm Assemble in the lobby of the hotel. Walk to Ellen’s Stardust Diner 1650 Broadway at 51st St

5:30 - 7:10 Enjoy Dinner as a group at Ellen’s Stardust Diner.

(10 minute walk/6 blocks to Carnegie Hall)

7:30pm Assemble at the main entrance to Carnegie Hall on 57th St

8:00pm Evening Showcase Concert in the Isaac Stern Auditorium / Perelman Stage, Carnegie Hall.

Following the concert there will be a short Awards Ceremony.

~10:15pm Return to the hotel.

DAY FIVE: Wednesday, April 13, 2016 – NEW YORK CITY → HOME

Morning: Breakfast on own.

9:00am Assemble in the lobby of the hotel, check out, load coaches and depart for Battery Park, Statue Cruises. Enjoy a ferry ride by the Statue of Liberty, a visit to Ellis Island and the 9/11 Memorial.

3:30pm Depart for a Newark International Airport. Arrive at airport, check in with airline, pass through security and proceed to departure gate.

10:02pm Arrive into Portland International Airport. Collect all baggage and instruments.

New York Orchestra Festival 2016

Preliminary PACKING LIST

WHAT TO PACK:

LUGGAGE:

¨ All: One checked bag: no larger than 62 linear inches (length plus width plus height)

¨ Cellos & Basses: One carry-on: No larger than 9”x14”x22”

¨ Violins & Violas: No carry-on (to avoid risk of otherwise not being able to carry on all instruments)

Purse or fanny-pack sized bag okay; any item that does not fit in this you may pre-arrange for a cellist, bassist, or chaperone to carry for you.

¨ Girls can store dresses in large Ziploc bags and put in suitcase

¨ Guys should carefully fold your outfit in half and store in suitcase

IN YOUR LUGGAGE/CARRY-ON:

***Pack for cool weather(average 60 degrees), include layers***

q Something safe to carry money that is close to your body; avoid backpack-style purses that could be easily stolen

q Spending money (optional)

q NYC T-shirt (DO NOT PACK! Wear this on the day of our departure)

q Good Quality Walking shoes …LOTS of walking…

q Uniform: (please double-check to make sure it is clean and packed neatly)

Boys: Tux pants, jacket, shirt, bowtie and cummerbund

Girls: black dress, slip, black nylons

In a separate, labeled plastic bag:

Black closed-toe dress shoes and black socks

q *Dress Shoes* - only bring ONE pair for performances in uniform, Broadway, the opera, the dinner cruise. (This will save room in your suitcase).

q **Semi-Formal/Business Attire For Wicked/Dinner Cruise/Opera: (3 evenings)

Boys: Dress Pants, Dress Shirt, Dress Shoes

(tie optional; no jeans, shorts, or t-shirts)

Girls: Dress and Dress Shoes (Flats preferred if you wish to dance)

(if sleeveless, bring a jacket. There will be cool weather on boat). Nice dress pants outfit okay for chaperones.

Please be aware of differences in cultural expectations when selecting

your attire… be more on the conservative side if in doubt.

q 4 pairs of other socks in addition to black socks/nylons for uniform

q Underwear, etc. for 6 days

q Toiletries***Pack in Checked Bag*** (toothbrush, toothpaste, shampoo, lotion, comb/brush, deodorant, razor, tissue, Make up, other items of a personal nature. Keep these in a leak-proof plastic travel bag to avoid mess in suitcase)

q Pajamas

q 2 pairs of pants. (This is in addition to any semi-formal slacks and tux pants)

q 4 Shirts (no inappropriate writing, no bare stomach, cleavage, strapless or spaghetti straps. 1” width straps minimum)

q Light Jacket, Small Umbrella or rain jacket

q Cell Phone/Charger

q Wrist watch

q Sunscreen

q Laundry Bag (plastic bag fine)

q Camera (optional; to avoid damage, film must go in carry-on, not in checked bag)

q Small lightweight flashlight (optional)

q School Souvenirs to exchange with new friends from other orchestras (optional)

q Book, etc. for bus and airplane. Avoid expensive electronics, other valuable items if concerned about losing them.

DRESS CODE NOTES:

q Any student not following the dress code will be asked to wear their NYC Shirt. This is non-negotiable. If you have doubts about an item of clothing, save yourself the space and frustration and don’t pack it. We realize that your wardrobe may be limited to questionable garments (low rise pants, short shirts, etc.)… you simply need to go out of your way to find items of clothing that adhere to the dress code. A festival / group situation is much different than a family vacation. We are representatives of our school, program, state, and country at this festival.

TO BE PACKED SEPARATE FROM YOUR LUGGAGE:

q Instrument – extra strings, shoulder rest, endpin strap, all other accessories (basses must bring own bows, rosin, & endpin strap / rock stop

q Music – Will be put in black folders in folder box on Thursday, April 7th

q Medications: All medications and prescription drugs must be in their original containers and clearly labeled with the student’s name. Specific instructions for dispensing the medications must accompany them. To comply with school district policy, medications will be kept by a designated chaperone and dispensed according to instructions (certain medications may be exceptions).

Carry with you at all times:

q Photo ID; Driver’s license or School ID card. Must have your photograph! Absolutely necessary to board airplane.

WHAT NOT TO PACK: (AIR TRAVEL CONSIDERATIONS, etc.)

Swimming suit (no pool)

Sharp objects in carry-on—scissors, nail file, tweezers, pocketknife, etc.

Hair Dryer or Iron (at hotel)

Aerosol sprays

Your bag (ONE!) must weigh 50 lbs or less to avoid extra fees at the airport. (You will be responsible for those fees). Your complete uniform must fit into your checked bag (including shoes).

Please do not over pack; we already have a lot of equipment / instruments going and don’t have extra space for extra bags. Check with roommates about who’s bringing what; remember, hotels have hair dryers.

Remember, this trip is about putting on an awesome performance – this should be your first priority! Do NOT forget pieces of the uniform.
