Job Description

Job Title: Parish Secretary Exemption Status: Non-exempt

Primary Function: Under the direction of the Pastor, Office, or Business Manager, is responsible for performing a variety of parish secretarial duties.

Essential Duties and Responsibilities:

§ Perform in support of the spiritual and pastoral mission of the parish and diocese

§ Abide by Catholic principles in the minister’s professional and private life, and shall govern his/her professional and private life in strict accordance with Catholic morals and principles to demonstrate complete adherence to Catholic moral strictures

§ Foster communication and works collaboratively with all Parish and other diocesan employees

§ Answer and handle telephone calls in a professional and courteous manner

§ Pickup, sort, handle, and distribute mail and packages daily as required; perform bulk mailings as necessary

§ Maintain records as required and control use of parish conference rooms

§ Maintain mailing lists, labels and the parish database

§ Provide secretarial and word-processing support as required including composing and typing of correspondence

§ Maintain the parish census and/or sacramental records register as required

§ Maintain physical and information security at all times; respect confidentiality and privacy

§ Maintain sign in logs as necessary including records; perform reconciliations as necessary

§ Perform other duties as assigned

Physical/Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in a normal office environment.

Required Activities: Walking; sitting; standing; stooping; reaching; talking; hearing; carrying; and keyboarding

Basic Qualifications:

§ Possess a working knowledge, and a strong commitment to the mission of the Catholic Church; must be in full communion with the Church

§ Employ flexibility and follow direction; be a team player and be self-motivated

§ Perform multiple tasks simultaneously and work with a sense of urgency

§ Exercise courtesy to fellow employees, parishioners and the general public

§ Research and retrieve information from the internet

§ Computer skills to include word-processing and spreadsheet preparation; Minimum typing skills of 50 WPM

§ Excellent communications skills, both oral and written

§ Ability to successfully pass a background and criminal history check

§ Clean and neat personal appearance

Education and Experience:

§ High School Graduate or equivalent

§ Background or education in business preferred

§ Two to three years’ experience as a secretary or administrative assistant in a small, medium or large firm or equivalent experience

Other/Preferred Skills:

§ Bi-lingual (English/Spanish)
