ADMISSIONS, RECORDS, and TRANSFER SERVICES

ILLINOIS VALLEY COMMUNITY COLLEGE

Reports to: Associate Vice President for Student Services

I. POSITION SUMMARY

Under general supervision of the Associate Vice President for Student Services, the Director of Admissions, Records, and Transfer Services leads and supervises a team of support staff in administering the recruitment, admission, registration, and student record functions of the College.

Additionally, the Director works closely with the Assistant Director, Counselors, and other Student Services personnel to maintain and coordinate Transfer Services for the college and assists the Associate Vice President with meeting representation.

Supervision received and given: This position is supervised by the Associate Vice President for Student Services and directly supervises the Assistant Director of Admissions, Records, and Transfer Services; the Administrative Assistant for Admissions and Records; and the Enrollment Services Assistants.

II. ESSENTIAL DUTIES AND RESPONSIBILITIES:

A. Communicate admission, records and registration information to prospective and current students, key high school personnel, faculty, staff and administration.

B. Coordinate campus events including open houses, high school groups visiting the campus, College Night, & Spring Preview.

C. Articulate admission, registration and records policies with academic deans, faculty, and key contacts at other institutions of higher education.

D. Administer special programs and activities related to recruitment and admission.

E. Develop and maintain an active high school and adult recruitment program.

F. Serve on committees such as Strategic Enrollment Management, Student Success, Colleague Module Leads, College Calendar, and others.

G. Supervise the processing of official academic transcripts, graduation processing and insurance verifications and assisting with troubleshooting situations that arise.

H. Supervise the processing and tracking/follow-up of applications for admission.

I. Supervise the administration of limited admission programs (Nursing, Therapeutic Massage, Dental Assisting).

J. Train staff members on office procedures and all aspects of the Colleague computer system as it applies to this office.

K. Assist with creating brochures, viewbooks, and other publications related to admission and registration.

L. Process term honors and Academic Standings at the end of each semester.

M. Responsible for keeping up-to-date with federal regulation changes applying to FERPA.

N. Process subpoenas as the office receives them.

O. Member of the Colleague Data Clean-Up Team, which is responsible for the accuracy of the data in Colleague and the National Student Clearinghouse.

III. OTHER DUTIES AND RESPONSIBILITIES:

P. Assist with Colleague Patch Testing.

Q. Member of appropriate teams and committees across campus to represent the Admissions and Records Office.

R. Assist with planning & administration of Commencement and New Student Convocation.

S. Perform other duties as assigned.

QUALIFICATIONS:

Required

· Bachelor’s Degree

· Ability to operate a personal computer and use Microsoft Word

· Experience in a community college setting

· Experience or demonstrated strong customer service ability

· Record keeping experience

· Experience working in an office with several staff in close proximity or independently

· Demonstrated ability to have multiple tasks in process at any given time

Preferred

· Master’s Degree in Student Affairs, Educational Administration, Business Administration, or related field

· Knowledge of college articulation & transfer processes

· Supervisory experience

· Evidence of coordination or assistance in the coordination of events and recruitment activities and creating promotional materials

· Experience with other software packages such as Microsoft Access, Excel, Publisher

· Experience working with a proprietary information system

· Student services experience
