2016 INFORMATION LETTER

Dear KHOSA Member

Welcome to the KHOSA Sports Club and in particular the KHOSA Road Running Section.

Membership registration will commence on 6thof January at 18h00–19h00 at the club, followed by every Wednesday thereafter between 18h00 and 19h00. Please note that registration will be held every Wednesday until further notice. We do however wish to ask that you register early in January to ease with logistics.

The following activities have been scheduled for the year: (All subject to date confirmation via email)

KHOSA RR 15km Night Race 3rd February 2016

Every member is expected to help out on the day.

This is our one and only fund raising event of the year. At time of registration please give details of which duty you are prepared to help with. We need Marshals, helpers at Registration tables, etc., etc.

Time Trials

These are run every Wednesday evening from the club starting at 18h00. Choose between 2km, 4km or 8km. The runners with the top 10 accumulated time trial distances between October 2015 and September 2016 will receive a prize at prize giving. All times are recorded and will be available at request from our statistician.

The 8km time trial route is a double lapper and basically follows the route of the 4km time trial, with one exception. The route is as follows: out the club gate left into Shannon Rd – down Shannon for 3 blocks and then left into Glen St – follow Glen for several blocks and then right into Endon Rd – after 1 block left into Willoughby St – through the deep dip and then right into Tralee Rd – after 1 block right into Frederick Cooper Dr (keep to the service road on the left) – left into Endon Rd past Laerskool Kenmare – right into the road opposite the Kenmare main entrance gate – after 1 block left into Waterford Rd – right into Clew St - follow Clew around the tennis courts and the bowls green – straight down Shannon and for the 4km turn left into the club grounds. The 8km runners don’t turn into the club after the first lap but continue straight down Shannon but don’t take Glen but after an additional block turn right into Contour Rd – follow Contour until it joins Glen – right into Glen and from there on the route is identical to the 4km route. It is important that 8km time trial runners first complete the 4km route and then deviate from that during the 2nd lap of the 8km time trial.

During the winter months it gets dark early on and runners are required to wear reflective clothing for safety purposes.

Youngsters under the age of 16 will not be allowed to run unless accompanied by a parent/adult supervisor.

Social Time Trials take place once a month and includes a lucky draw, something to eat and a general get together where one can meet fellow runners.

Inter Club Time Trials are run between various West Rand clubs. You will be notified of these events via email.

Club Runs

Tuesday and Thursday night runs from the KHOSA Sports Club are arranged as follows:-

Emails or sms’ will be sent to notify you of club runs taking place during the week.

Saturday and Sunday morning runs

Emails or sms’ will be sent to notify you of club runs which normally leave from the club on a Saturday and/or Sunday at 06h00 during the summer months, and 07h00 during the winter months. You will be notified via email on a weekly basis.

Morning Training runs

Tuesday/Wednesday & Thursday, by arrangement, members meet at Key West at the Virgin Active section at 05h00 for a 6–8km run.

Event Races

The KHOSA gazebo will be at these races and refreshments are provided for the runners and their supporters. We encourage all members to attend these event races and relax awhile before rushing home.

The following races have been identified as event races:

  • Cape Gate Vaal 21/42km Comrades Qualifier
  • Wally Hayward 21/42km Comrades Qualifier
  • Rustenburg Mountain Race 25km good goal to have after Comrades

  • RAC Tough One 32km

Club Weekends

The Running Club will make tent site booking arrangements on behalf of the members once deposit has been paid. Runners are responsible to bring their own camping equipment (tents/caravans and all other equipment) and for all the costs of accommodation, race entries, transport and meal costs for the weekend. These weekends are a lot of fun and it gives you a chance to run in different environments.

The following have been identified as club weekends dependant on interest received from members:

  • Loskop 21/50km Comrades Qualifier
  • Kaapsehoop 10/21/42km Comrades Qualifier for 2016!

Comrades

A function is held at the club, normally the Saturday before Comrades where we encourage all our members to gather so that we can wish our Comrades runners all the best.

At the finish of Comrades our gazebo(s) will be there and details of its whereabouts will be emailed out to our members.

We organise an “Aches & Pains” function after Comrades so that stories can be told and achievements celebrated.

Prize Giving and AGM

The Committee awards various prizes (in the form of floating trophies and/or certificates) to several categories at the AGM which is normally held in October of each year. A list of categories is attached at the back of this letter. It is critical that you take the responsibility of informing the Committee of personal achievements – it is impossible for us to track all the results of all of our members.

It is also important that you complete the attached personal running goals form if you want to compete for the closest-to-personal running goals award.

Clothing

Plain navy blue shorts/skirts to be worn with club vests which can be purchased from the club on Wednesday evenings between 18h00–19h00 at a cost of R170.00.

General

Should you not be receiving any electronic notifications please advise a member of the Committee.

There will be further events taking place during the year, and you will be informed via email. Please make sure we have your correct details. Should you have any other suggestions or needs please don’t hesitate to contact any of the committee members.

Attached to this newsletter is also the Fee Structure for 2016 as well as our Rules of Conduct.

RULES OF CONDUCT FOR KHOSA ROAD RUNNERS CLUB MEMBERS

Members are expected to always, when acting in their capacity as Club members or attending events where they associate themselves with the Club or can be identified as Club members, conduct themselves in such a manner that the Club’s good name and reputation is upheld and that the Club is not brought into disrepute. In this regard the following guidelines are provided:

  1. Respect. Members should always show respect, be polite, be courteous and be helpful to each other and also other club members, runners and the public in general.
  2. Wearing of Khosa clothing. Members should wear their official Club clothing at official running events unless they register for events without mentioning which club they represent.
  3. No sharing of licences. Members are not allowed to share their CGA licences or their Club clothing with none-members – this will be seen in an extremely serious light and may lead to expulsion from the Club.
  4. Unsavoury language. Members should not use unsavoury language such as swearing and making comments of a sexual or discriminating nature, or tell jokes of an adult nature in the presence of minor children.
  5. Alcohol abuse. Members should not use alcohol to such an extent that they become inebriated and then conduct themselves improperly or in a manner that is unacceptable to the Executive Committee.
  6. Cheating. Cheating in terms of running times at races or distances will not be tolerated as this severely affects the credibility and reputation of the Club.
  7. Responsibility for family and supporters. Members shall be required to take responsibility for the behaviour of their family members and/or supporters who accompany them – members shall see to it that they adhere to these rules.
  8. Use of club facilities. Club facilities, especially refreshments made available to members (and spouses) who participate in race events, are made available for the benefit of members whose membership fees are partly utilised for this. This includes running events identified as “official Club events” attended by members where light snacks and beverages (alcoholic and non-alcoholic) are made available to runners in moderate quantities, and where runners’ supporters often abuse this privilege. Members should therefore ensure that non-members, family members and supporters do not abuse this and, to the extent that members would like to request that refreshments be made available to family members and/or supporters at these events, they could arrange this with the Club in advance against payment of a nominal financial contribution as will be decided by the Executive Committee.
  9. Damage to property. The intentional damage to or abuse of Club property will not be tolerated and members will be required to pay for damages caused by them in this regard.
  10. Safety. Members are required to wear reflective clothing or lighting when running in the dark, especially at time trials during winter. This is an important safety issue and the Club reserves the right to disallow any runner to participate in such events if the appropriate safety gear is not worn.
  11. Child runners. No children under the age of 16 will be allowed to participate at time trials unless accompanied by a parent.

Any conduct that is noted or reported and which in the reasonable opinion of any Executive Committee member is unacceptable, may give rise to disciplinary action against the member. This will entail notification to the member of the alleged conduct and requesting the member to attend a meeting with the Executive Committee to discuss the alleged conduct. Depending on the findings, the Executive Committee shall have the right to:

  • Issue a written warning to the member;
  • Suspend the member from the Club for a period of time;
  • Fine the member with such amount as deemed appropriate under the circumstances which fine may not exceed R500;
  • Expel the member from the Club and terminate his/her membership;
  • Suspend any of the sanctions listed above subject to such conditions as the Executive Committee may deem appropriate.

Personal Running Goals for 2016

What are your personal goals for 2016, and what is it that you want to achieve? Is it perhaps to run your first 10km or 21km or a marathon; or perhaps Comrades; or perhaps a certain number of races; or a certain number of time trials; or perhaps to run chosen distances in a specific time; or just to become fit? Whatever your goals are, irrespective of how small or big, please share this with your committee and fellow runners by listing them below. This will then serve as a standard to measure yourself against, and will also assist the club to help you to achieve those goals.

Once this form is completed by you (please do it as soon as possible, in order that you give yourself the maximum time to achieve your goals) it will be captured and monitored by the person responsible for statistics, and your personal progress and other general data will on a monthly basis be put up on the notice board so that runners can monitor their progress. It will also enable the training experts to assist you to achieve, or even exceed, your goals.

At the end of the 2016 running year (which is measured from October 2015 to end September 2016) we will have a prize giving function where prizes are awarded in various categories, amongst others for runners who exceeded or who came closest to achieving their running goals. Your progress will also be taken into account in the selection of the runner of the month, club person of the year, best improved runner, or any other applicable categories.
