IF=Independent Facilitator, SLT=State Leadership Team Member (Eastern Region) (Central Region) (Western Region)

X=present during Friday call, Y= present during Monday call

Expected Participants / Topics for discussion / Notes from Discussion
All provisional facilitators.
Interested independent facilitators.
Interested state leadership team members. / Monitoring Implementation and Outcomes:
2 Big Questions: Are we doing what we said we would do and Is it making a difference? / Fidelity Data: collection and use—challenges may include feeling a lack of time—multiple responses; unsure what to collect—multiple responses. Lack of resources—several responses.
Importance of collecting and analysis of fidelity data is critical
Are we teaching expectations and reinforcing the expectations?
Are staff using practices?
What should we be looking at? So many sources of data. What do we need to do leading to positive outcomes?
*EC PBIS Data Requirement document: provides the ‘why’ or purpose of the data collection tools. (This document is found on the PAPBS Network website, available to ECE PBIS Facilitators)
The Benchmarks of Quality – How are you using this data form?
What documentation are you using to confirm the data points? / Is the BoQ shared with staff and program administrators?
Start each PBIS meeting by reviewing the BoQ to see how fidelity is proceeding. It is reinforcing to be able to add some additional checkmarks for having things farther along. BoQ serves as a foundation for the action plan. Some date each new check so they can monitor their progress.
Coaches Logs – / Coaches logs are a good source of documentation for the BoQ if you record your team meetings within the coaches logs. This strategy makes it very easy to send the notes to everyone because you can email from the database.
Developing process for measuring outcomes:
Skills of the staff
Skills of the children
Needs of staff and children
Data Requirements
Other data tools?
How do you embed data collection into your daily business? / TPOT: how does that TPOT support teachers’ skill development? How do teachers support children?
TPOT was initially used with teachers that were interested in piloting this tool. Teachers expressed interest in participating in PBIS implementation. Intentional decision making about implementation some but not all classrooms.
How is the TPOT information used to support coaching and implementation?
Do staff see TPOT as a supportive tool? Support to teachers for concrete change.
Measurement and Data issue: how do we use data tools? Perfect score (100%!) can impede progress.
What are the questions that we want to answer for program implementation of PBIS? What data has been most helpful for implementation?
BIRs help determine if new strategies are effective or not in changing children’s behavior. Staff surveys give guidance about the effectiveness of staff supports and expectations.
Ways you use the data collected? / How do you work when there is a lack of data? BIRs: data will help coaches support teachers and children. Buy-in for staff. Staff is seeing progress leads to increase in positive outcome.
Without data, you are just another person with an opinion!
How much are the teachers are involved in planning for child behavior plan?
Teacher, coach, administrator, facilitator included. Draft a behavior plan. Include family in the planning process.
Ways you give the analysis of data back to the staff and families? Data supports ongoing buy in and staff engagement. Without this people “check out” in regards to PBIS
Use the data to fuel staff incentives. / TPOT may be intimidating for teachers until the teachers discover the data feedback that support their day-to-day work with children. What is in place for the teacher; how to support their challenges in the classroom.
Behavior Incident Reports (BIR) program-wide collection. Opportunity to look at trends in the program. Decrease in incidents as a result of the new implementation of strategies of PBIS within the program. “This is working!” Working with the program intensively over almost a year.
Posting materials on a wiggio page is a way to share notes, resources, etc. with your staff without clogging up email boxes.
Some sites are getting pushback from families who say that they pay the child care program so they shouldn’t have to have any part in following expectations.
Use of the TIPS (Team Initiated Problem Solving) Process / See Webinar 2: TIPS information. A way to look at data within CLT meeting. Data analyst prepare data prior to CLT meetings. Focused work of team meeting. Rob Horner video on PaTTAN website. Analysis of data that works for the program you support. Suggestion: provide TIPS meeting evaluation paper strips for more ‘honest’ feedback.
Sustainability of data collection. / When a program begins to take ‘ownership’ of implementing PBIS, more responsibility within the program. Data that is collected and used will lead to sustainability of implementation.
Gradual implementation of the PBIS process can lead to stronger sustainability.
Monitoring fidelity will lead to stronger positive outcomes. Important to share with staff and administrators. It took 9 months of implementation until the administrator was able to acknowledge how PBIS makes sense for the program. It takes time and DATA to lead to understanding and sustainability.
Did the webinar(s) provide you with useful information? / Yes, I learned something I didn’t know before. / I am not sure / No, I already knew everything covered / No, I think the additional information and resources confused me

Was the conference call a good use of your time? / Yes, I learned more about applications of principles / Yes, I got my questions answered / Somewhat, but I still have questions / No, I didn’t learn anything beyond what was in the webinar.
