CLAY TARGET CLUB BYLAWS

Teacher Sponsor

If club is affiliated with high school or college, club must have a teacher or professor on staff sponsor club. Duties of sponsor are as follows:

-  All meetings of the group or club on campus must be attended and monitored by a school employee appointed and approved by the school principal. The employee will be present in a non-participatory capacity to maintain order and protect school property. Groups are encouraged to find and obtain an agreement from staff members to accept such a role. No employee will be required to monitor a meeting at which the content of any speech would be objectionable to the employee. The teacher sponsor may not serve on the parent board or as an official head coach or assistant coach at the time of serving as teacher sponsor, unless club has written permission from the school.

-  The teacher sponsor may or may not receive a stipend, depending on the Board decision. Must be reasonable in time spent with club and approved by school.

-  All Board policies, district and Campus Administrative Rules and the Student Code of Conduct are applicable. If school has outside club policies and procedures, please adopt and attach to bylaws pertaining to club.

-  Teacher Sponsor and Student President must work with principal to get signature for YTF forms and approval for whatever forms are necessary for individual school.

Student Code of Conduct

-  9th grade students can be on middle school or high school team depending on school club.

-  Each student must sign up for YTF membership online and complete all online forms to be eligible to compete in YTF events

-  No possession will be tolerated of Alcohol, Drugs, tobacco or hazing. Possession of Drugs, tobacco or alcohol will result in immediate removal from the club.

-  Students are not allowed to participate in the program if charged of a felony involving bodily harm Adjudication and/or Conviction of a felony.

-  All school rules and procedures are to be followed at all times and students must have the highest conduct.

-  Do not cut class and do not be tardy. Your commitment may include holidays and non-school days.

-  Profanity is not allowed.

-  It is highly suggested to club for students to maintain at least a 70 or above in all classes.

-  Always be on time to all practices, meetings, matches and competitions.

-  Be responsible and always take care of all equipment and facilities.

-  Treat all coaches and teachers with respect.

-  Do not steal any property that is not yours. Stealing will result in immediate removal from the club.

-  Students are held accountable for their own actions. Be sure to think before you act and know that you are accountable for all of your own choices.

-  The head coach has final say in the suspension of a student, but it will be discussed with the teacher sponsor and the assistant coaches.

-  Careless driving, or horsing around with a car or golf cart can result in an immediate removal from the club. NO EXCEPTIONS!

Parent Board

-  First Vote in Secretary- he or she will then take minutes of the meeting.

BOARD POSTIONS AND DUTIES/RESPONSIBILITIES

PRESIDENT

·  Organize all board meetings

·  Organize and meet with other board elects

·  Organize and oversee all departments on parent board and sub committees (chairpersons)

·  Will update and brief The Youth Target Foundation (YTF) representative on all sub committees through meeting minutes

·  Purchasing of Club materials must be done with two signature from the board

·  Signee on bank account

·  Communicates with National YTF Youth Director

·  Heads up fundraising

VICE PRESIDENT

·  Oversee volunteer board

·  Assist with fundraising along with President

·  Keep track of Range Fees and credits for club Treasurer for confirmation

·  Signee on bank account

SECRETARY

·  Keep all board meeting minutes

·  Confirms all online paperwork for club members, coaches, volunteers and club formation with YTF

·  Organize and gather all paperwork for travel along with Travel Coordinator and Sub Committee

·  Send out all information to club, board and coaching staff

·  Organize calendar for events and submit any host events to YTF calendar

·  Helps organize club press releases- assists student secretary

TREASURER

·  Collect all monies for club and from secretary

·  Must be a signee on bank account for club

·  Keep track of all credits with vice president

TREASURER ELECT

·  Assist the treasurer with all duties

HISTORIAN

·  Document and gather all photos and videos of all activities

·  Submit all photos and videos to webmaster weekly

·  Submit all photos and videos for any club member for any national competition, Olympics or scholarships

·  Assist in planning of banquet

WEBMASTER

-  Create and develop website for club (free site on YTF’s website)

-  Gather photos and videos from historian and put on website

-  Gather calendar from secretary and update on website

-  Keep website updated weekly

Head Coach

-  Be 18 years of age or older.

-  Suggested not serve on the Parent Board, Head coach will be very busy. Other parents and volunteers should step into this role.

-  Plans and schedules all practices

-  Keeps track of all students’ (get from student secretary) practice attendance

-  Order ammo

-  National Rifle Association (NRA) coach or instructor certified

-  Completed Level 1 YTF Coaches Training

-  Set budget with President.

-  Run all practices and competitions

-  Follow up with club on commitments, service projects, certifications, fundraisers.

-  Keep track of targets shot/scores/squadding

-  Current Cardiopulmonary Resuscitation (CPR) certification

-  Keep current on scholarship letters, letter of recommendations etc.

-  Work cooperatively with youth, families, range officers, event organizers, and others in a mature, courteous and respectful manner.

-  Be a positive role model by exhibiting good sportsmanship, promoting fair play, showing compassion, and demonstrating a personal commitment to YTF and shooting sports.

-  Know their state firearms laws and what the legal requirements are for participation.

-  Accept the responsibility for supervising and controlling their respective club participants at all events at all times. Clubs will not be allowed to participate in activities without their coach or other qualified and responsible parent on-site.

-  Provide CLOSE SUPERVISION and personal attention at all times when participants are handling firearms or are in an area where firearms are being stored or used.

-  Conduct practices on a regular basis.

-  Know the established emergency plans of the club or facility.

-  Agree that the following behavior should not be tolerated by ANY individuals (including, but not limited to, athletes, parents, coaches, officials, and adult volunteers).

o  Offensive language or obscenities.

o  Verbal or physical actions or neglect that might bring emotional, psychological or physical harm or humiliate any individual (this includes failing to provide adequate safety measures and care or supervision).

o  Sexual harassment, sexual exploitation, or other actions of a sexual nature.

o  Discrimination due to race, color, national origin, religion, sex, age, disability or sexual orientation.

o  Consuming or condoning the use of alcohol or illegal drugs before or during events or being in possession of or under the influence of alcohol or illegal drugs.

o  Other behavior deemed inappropriate by the school organization, YTF or violates state or federal laws.

-  Incidents of suspected or observed violations of these General Guidelines or other YTF rules and policies by volunteers should be reported in writing to the YTF Board of Directors. The Board will investigate the alleged offense and take corrective action if deemed necessary. Any suspected or observed abuse of youth participants or other illegal conduct by volunteers should be reported immediately to local law enforcement and to the YTF Board of Directors.

-  Know and understand all 3 National Governing bodies rules and regulations. Know and understand YTF’s Handbook.

Assistant Coaches

-  Be 18 years of age or older.

-  Can serve on Parent board or committee if needed

-  Assist coach at practices, competitions and any and all duties needed including but not limited to:

o  Keeps track of all students (get from student secretary) practice attendance

o  Order ammo

o  Follow up with club on commitments, service projects, certifications, fundraisers.

o  Keep track of targets shot

o  Keep current on scholarship letters, letter of recommendations etc.

-  Completed YTF Level 1 Coaching Training

VOLUNTEERS

-  Each club will need to have a Volunteer Committee or Volunteer Director

-  Volunteer committee or Volunteer Director will organize all volunteers for practices, competitions, fundraising and special events

-  Volunteer ratio is 1 to 5 Volunteer to Student ratio at every practice and every competition event.

-  Verify and follow up on volunteer paperwork. Every volunteer must pass background check and get volunteer insurance.

-  Communicate with YTF and shooting facility representatives

-  Gather calendar of events for volunteers and send to secretary

-  Be 18 years of age or older.

-  Work cooperatively with youth, families, range officers, event organizers, and others in a mature, courteous and respectful manner.

-  Be a positive role model by exhibiting good sportsmanship, promoting fair play, showing compassion, and demonstrating a personal commitment to YTF and shooting sports.
