action 1 / Check for injuries and secure medical attention through Ambulance or first aiders
action 2 / Take a roll call of staff and ensure everyone is accounted for
action 3 / Check with staff/reception if any visitors / contractors were on site, locate them and ensure their safety
action 4 / Contact or nominate someone to notify next of kin of injuries
action 5 / Attend to welfare needs – Child care, transportation, personal effects, change of clothes etc

action 5 / Arrange for a Health and Safety inspection or building inspection
action 6 / Take photographs for any future insurance claims
action 7 / Retain damaged equipment until insurers clear it for disposal unless hazardous (ensure photographs in this case)

action 1 / Is telephony working and have any faults been reported to Comms. If there is down time what are the estimates of how long this will be
action 2 / Do you have sufficient mobile phones to tide you over or does the organisation need to purchase any pay as you go phones for survival
action 3 / What computer systems are working and have any issues been reported to the IM department. Is there an estimate of how long any system will suffer down time
action 4 / If systems are down has IM and Telecommunications activated their Disaster recovery plan and have estimates been given as to how long priority systems will be off line
action 5 / Are any faults with telephones or computers because of a wider failure of utilities or damage to networks
action 6 / What is your unit’s requirement for extra equipment (details in Part 1 of your Plan)
action 7 / Escalate requests for equipment through the Gold Emergency Management Team

action 1 / Is there a pool vehicle system available? Are you able to continue to use this facility
action 2 / Are there sufficient vehicles left in the ‘pool’ system?
action 3 / If the pool system is no longer in use what vehicles are available and do they meet your requirements?
action 4 / Contact Fleet Management to establish where alternative vehicles can come from and that they are fit for purpose
action 5 / Do the vehicles require any equipment and has this been salvaged from other vehicles? Are you able to replace equipment?
action 6 / If equipment cannot be found then risk assess the task and make appropriate decisions
action 7 / Do you have sufficient drivers with the correct classification? If not escalate up to Silver Emergency Management Team.
action 8 / If there are still insufficient vehicles then consider the hire of vehicles for up to 1 month

action 1 / Establish current status of incident and all relevant facts
action 2 / Pass all this information to the Gold Emergency Management team for them to set up a meeting with Corporate Communications to consider Strategy, holding statements and full media routes
action 3 / Consider who your main stakeholders are and release information as agreed by action 2.
action 4 / Are there any stakeholders or partners who should be informed of events as a priority and pass this information on.

action 1 / Seek advice from the Risk Officer
action 2 / Consider advice from Insurance Section
action 3 / Check to see if it is safe to re-enter premises
action 4 / Seek advice from Health and Safety advisor and ensure any necessary PPE is used prior to salvage
action 5 / Obtain advice from IM and Telecommunications on the recovery of electronic data
action 6 / Assess what documents are required for salvage and request specialist advice from document recovery specialists from the Gold Emergency Management Team. This is primarily for water or fire damaged documents.
action 7 / Seek permission from the Gold Emergency Management Team to commence a clear up and salvage operation
action 8 / Take photographs of everything to assist in insurance claims and potential litigation
action 9 / Advise the Silver Emergency Management Team of requirements for skips

action 2 / Is there physical damage to local authority buildings and what was the cause. It is likely that this will be insured but details will be required inc photographs
action 3 / Who might wish to claim against council’s insurers or third party insurers
action 4 / Gather and retain evidence to support a claim
action 5 / Consider retaining evidence to rebut claims by others
action 6 / Ask the Risk Officer for early contact by insurers or loss adjusters
action 7 / Make liberal use of photo’s and video evidence
action 8 / Keep a record of what you do, why you did it and what you considered. Create an incident log
