Job Description

Job title: Governance Administrator

Responsible to:Finance Director and Company Secretary

Purpose:

To provide a comprehensive administrative and co-ordination service to support the Board and Governance Function within Woodard Academies Trust. To support the Board and the Subcommittees by providing an effective agenda and minute taking service and to support the committees by developing a good understanding of the terms of reference for the sub-committees and the governance requirements of external bodies.

Under the direction of the Finance Director, to organise the delivery of relevant training for Academy Council Members to ensure that the Councils are able to effectively fulfil their remit.

Key Accountabilities:

  1. Board Meetings

Work with the Chairman of the Trust to prepare the Agenda.

Co-ordinate the preparation of Board papers and packs.

Attend and minute Board Meetings producing and circulating accurate minutes in a timely fashion.

Ensure that rooms/refreshments are organised for Board Members.

Manage the electronic and hardcopy filing of Board minutes and papers.

Manage the forward planning of all Board meeting and Sub Committee dates.

To organise and administer the annual conference for Trustees in conjunction with other staff.

To maintain and manage records and contact detailsrelating to all Trustees

  1. Sub Committee Meetings

Work with the Committee Chair and the supporting Executive for each sub-committee to ensure the timely preparation and circulation of the agenda and committee papers.

Attend the meeting to take minutes, ensuring that accurate minutes are prepared and circulated in a timely fashion.

Manage the electronic and hardcopy filing of Committee minutes.

Undertake the follow up administration and letters where required by the Committee Chairman.

  1. Academy Councils

Under the direction of the FD, plan and organise a programme of Academy Councillor Training, taking responsibility for bookings, communication and support for the event, whether delivered at the WAT Head Office or external location.

To administer and organise the Academy Councillor conference.

To manage the receipt of and filing of all Academy Council documentation.

To maintain an accurate record of Academy Council members including attendance at WAT training.

  1. Other Duties

To undertake any other duties that could reasonably be requested by the Financial Director, CEO or Chairman of the Board.

  1. Growth

This is a new role within Woodard Academies Trust. The scope of the role is likely to develop and extend with the growth of the Woodard Academies Trust.
