Cardiff Met will soon incorporate a new academic school – Cardiff Met School of Law. You have been asked to create a team site infrastructure that members of the new school can use to store their documents and collaborate with their colleagues.

Task 1 – Team Site Creation

The first step is to create the “root” site for the School of Law and two sub-sites for the Criminal Law and Contract Law departments.

Part A

  1. Navigate to the SharePoint 2010 Training Site [
  2. Use the Site Actionsmenu to create a new site team site:
  3. Title it: [Your Initials] School of Law. E.g. GJ – School of Law.
  4. Choose a suitable URL.

Part B

  1. Navigate back to your [Your Initials] School of Law site.
  2. Create another site within the School of Law site:
  3. Title it: Criminal Law
  4. Choose a suitable URL.
  5. Use More Options to:
  6. Under the Navigation section, specify that the site should appear in the Quick Launch of the parent site.
  7. Under Navigation Inheritance, specify that the site use the top link bar from the parent site.
  8. Repeat steps 1-2, but this time title the site Contract Law.

Task 2 – Customising your team site

Each newly created site will be setup with a standard “out-of-the-box” layout and design. Customising the site allows it to be personalised and better suited to the needs of its members.

Part A – Editing the homepage

  1. Navigate to your [Your Initials] School of Law site (the parent site).
  2. Use the Edit Page command from the Site Actions menu to edit your team site.
  3. Delete any material from the page:
  4. Remove the text from the middle column (that begins Welcome to your site).
  5. Delete the Shared Documents library from the middle column.
  6. Delete the stock photo and the Getting Started links from the right column.
  7. In the middle column type in a title at the top of the page – Cardiff Met School of Law.
  8. Use the Format Texttab on the ribbon to customise the title; increase the font size and change the colour of the text.
  9. Add some explanatory text beneath the title that describes the purpose of the team site. Format appropriately.
  10. Position the cursor in the right column. Use the Insert tab on the ribbon to insert a web part - choose the Site Navigator web part from the Miscellaneous category:

  1. Click Add to add the web part to the page.
  2. Click theSave & Close button on the Page tab to update the page with your changes.

/ Extension Idea

Try adding a picture to your page:

  • Search the web for a suitable image.
  • Save the picture to your My Site.
  • Edit the team site page.
  • Use the Insert tab to insert a picture From Computer:

  • Locate the picture you saved earlier and add it to the page.

Part B - Lists

  1. Navigate to the announcements list for your new School of Law site (choose the Lists link in the Quick Launch navigation  Announcements).
  2. Add a new announcement announcing the imminent opening of the School of Law.
  3. Delete the default system announcement (entitled Get Started with SharePoint foundation).
  4. Return to the homepage for your site and edit the page.
  5. Position the cursor at the bottom of the left column. Use the Insert tab on the ribbon to insert an Existing List.
  6. Choose the Announcements list:

  1. Save & Close the page.

/ Extension Ideas
  • Use the Calendar list to share upcoming events for the School of Law.
  • Navigate to the Calendar list then use the Events tab to schedule a new event.
  • Embed the calendar onto the homepage of the team site by inserting it as a web part.
  • Use the Connect to Outlook button to open the SharePoint calendar in Outlook. Try creating a new event in Outlook, it should synchronise with the SharePoint.
  • Change the name of the calendar to “School of Law Calendar” (Calendar  List Settings).
  • Use the Links list to create a list of relevant web site links for the School of Law. Add a web part to the top right of the homepage to display the links.

Part C – Quick Launch navigation

Customise the Quick Launch for the Cardiff Met School of Law. Ideas:

  • Create a new link to the Home page of Cardiff Met School of Law.
  • Amend the Headings to make them more user-friendly. E.g. rename Lists to Events.
  • Adjust the order of the links.

Task 3 – Permissions

Permissions for the site need to be amended to ensure the correct people have the correct level of access.

Part A

  1. Use Site Actions  Site Permissions to examine the permissions for your School of Law site.
  2. Use the Check Permissions button for a detailed breakdown of your permissions.

Part B

Navigate to the Criminal Law site and use Site Actions  Site Permissions to stop inheriting permissions. This will allow you to modify the permissions:

  1. Remove permissions for the following staff who don’t work for the Criminal Law department:
  2. David Ruckley.
  3. Simon Broadhead.
  4. User: Joe Train should only have contribute access, not full control. Modify the permissions to reflect this.
  5. Grant the following staff read permission to the Criminal Law site:
  6. Neil Gardner.
  7. Alex Tam.

Hint: At this stage, don’t Add users to a SharePoint group, instead Grant users permission directly. We’ll explore groups a bit later on.

Task 4 – Groups

Groups can be created to manage permissions more efficiently. In this exercise, we will create two groups that will be used to manage permissions for the Contract Law site. One group will be for administrators (who will have Full Control); the second will be for regular users, who will have contribute access.

  1. Navigate to your Contract Law team site.
  2. Use Site Actions  Site Settings  People and groupsto access the People and Groups management screen. Click the Groups link in the Quick Launch navigation:
  1. Use the New menu to create a new group.
  2. Entitle it [Your initials]Contract Law Owners.
  3. Allow Everyone to view group membership
  4. Allow only the Group Owner to edit membership
  5. Add Paul Kinsey to the group.
  6. Create a second group: [Your initials]Contract Law Members
  7. Set the Group Owner to be the [Your initials]Contract Law Owners group
  8. Allow Everyone to view group membership
  9. Allow only the Group Owner to edit membership
  10. Add Mike Allaway, David Ruckley and Simon Broadhead to the group.
  11. Return to the Site Actions  Site Permissions screen and grant [Your initials]Contract Law Owners full control to the Contract law site.
  12. Grant [Your initials]Contract Law Members contribute access to the Contract law site.

Task 5 – Document libraries.

The document libraries for the main School of Law site now need to be setup and configured.

Part A

  1. Navigate to your [Your Initials] School of Law site.
  2. Create a new document library: Policies and Procedures.
  3. Create a second document library, utilise options to enable version history. Name the library Minutes.

Part B

Use the document library settings screen to:

  1. Enable version history for the Policies and Procedures library.
  2. Stop inheriting permissions for the Minutes library.
  3. Removepermissions from the Minutes libraryfor David Ruckley and Simon Broadhead.
  4. Grant permissions for Alex Tam, Mike Allaway and Neil Gardner – give them contribute access.
