Position:Hospice & Community Volunteer Manager

Responsible to:Assistant to Chief Executive

Accountable to:Chief Executive

Hours:30 hours per week

Salary:£20,844 - £25,047 (pro rata)

Role Summary:To lead and manage volunteer development and implement new ways of working so that Willow Wood is able to respond flexibly to rapidly changing patient and organisational needs.

Based:This role will be based at the Hospice although regular visits to other hospice locations and to community groups will be required.

RESPONSIBILITIES

  • Develop innovative and flexible strategies to achieve our goals through volunteering and community engagement.
  • Ensure that all aspects of the volunteer journey are managed to a high standard reflecting best practice in the UK.
  • Provide managers with an advisory service on volunteer management. Support them to recruit and maintain a sufficient, strong and vibrant pool of volunteers within the hospice and our shops.
  • Develop effective relationships with all volunteering groups at Willow Wood.
  • Develop a community engagement strategy to ensure that all areas of the Tameside and Glossop community have the opportunity to contribute to the volunteering roles at Willow Wood.
  • Create and review annually, role descriptions for the volunteer role with the manager of that service.
  • Be responsible for developing and maintaining appropriate volunteer policies.
  • Develop, implement and maintain a volunteer recruitment, induction and welcome day process for all volunteers.
  • Provide management to all volunteers within both the reception area and the voluntary services area.
  • To ensure that the reception area of the Hospice is staffed between the hours of 8.30am to 8.30pm by voluntary workers.
  • Deliver talks to outside organisations promoting the benefits of volunteering for Willow Wood.
  • Identify talent within the volunteer community and to ensure that skills are explored even if outside an existing volunteer role for the benefit of the individual and the hospice.
  • To work in a professional manner at all times, reflecting and maintaining the values and ethos of the organisation and thereby generating a positive image of Willow Wood Hospice.
  • To arrange and conduct volunteer training courses. This will includereviewing and assessing the impact of any training and reviewing the volunteer requirements on an ongoing basis.
  • Develop and maintain relationships with other Hospices and local voluntary organisations. Attend meetings to network and to share and learn from colleagues for the benefit of our volunteers and Willow Wood.

Management responsibilities

  • Manage and support volunteers involved in the voluntary services area as well as all of the volunteer receptionists.
  • Hold regular meetings with volunteers, ensuring that ideas are sought, communication is clear and regular and feedback is acted upon.
  • Provide support, training or coaching to managers in the effective management and leadership of a voluntary workforce.
  • Lead the project team in arranging the annual volunteer party and to also look for alternative ways to recognise and reward our volunteers for their contribution.

Administration and Reporting

  • Ensure all documentation is in place to aid the process of recruiting and retaining staff.
  • Be responsible for the accurate recording and security of personnel records and computer databases for all volunteers in line with the data protection legislation and confidentiality requirements.
  • Provide a monthly report to Chief Executive to be included in Trustee Board papers.
  • To co-ordinate, calculate and report on the economic value of the Willow Wood volunteers.

Health & Safety

  • To co-operate actively in achieving the aims of the Hospice’s Health & Safety Policy and to ensure the observance of all Health & Safety Rules and Procedures.
  • To ensure that all employees and volunteers under your leadership receive the necessary information, instruction, training and supervision to enable them to carry out their duties safely. To report and co-operate in the investigation of all incidents and accidents.

Willow Wood Hospice is a registered charity, not part of the NHS and it costs over £2 million to run the Hospice every year. We rely on support from the community of Tameside and Glossop, both through volunteering time and donating money to enable us to continue our existing services.

For this reason it is expected that all members of staff will also support the fundraising activities of the Hospice. We encourage every staff member to help at, participate in, or support at least two fundraising activities every year. Opportunities to support fundraising activities vary and could include helping at fundraising and shop events, taking part in an event and raising sponsorship or attending cheque presentations. Staff members will be asked as part of their annual appraisal which events they have supported.
