Minutes

Opening
Program is approaching Implementation. Plan for today: Review reports and then split into breakout groups: Marketing and Communication and Programming.
Agenda item: / Special Reports
Meeting with Dr. Rhodes: / PLT has taken us off the agenda, so we could meet with Dr. Rhodes first on Dec. 19th and get his feedback.
Walking Routes:
Rollout Dates:
Tache Run
SDD 2013 / Assessment of walking routes is slated to be finished by mid-December. Northridge may already have some. There has been concern about scouting for walking trails without including the campus managers. Sam has been researching the walking routes and could use assistance.
Also discussed possible peaceful outdoor sitting area outside of HBC. Suggestions were the back area (which still smells like cigarettes but could be power washed) and the rally point (which is near a drainage ditch, and other concerns regarding rats + homeless camp were expressed about this spot.)
Possible Wellness Program rollout dates discussed. Merrilee after conferring with the committee has committed the ACC Wellness Program to be a sponsor of the Tache Run on January 27th. Merrilee will email more regarding this. Proceeds go to ACC Foundation. It will be on the golf course. We’d be a cost free sponsor of the run and put the details on our website. Richard Armenta to attend next meeting and explain further.
Also discussed the possibility of rolling out the program at SDD13. Merrilee suggested a possible talk during the luncheon. If we are unable to get a food donation, would the wellness committee be interested in sponsoring the luncheon? Opinion seems to be that the luncheon + talk would be a good idea but we’d have to check for red tape with paying for the food. Merrilee and I will investigate getting sponsorship (Whole Foods.) Budget guidelines uncovered by Lara: Food may be provided in conjunction with PD/Educational events. Good possible roll-out day.
Overall opinion seems to be that the Wellness Luncheon on Jan 11th would be the best bet for roll-out. Also discussed chair yoga and seated Tai Chi (Richard) for the wellness day. Room 103 (fishbowl) a good possible room for this to happen throughout SDD13.
Agenda item: / Results of Survey/Focus Groups
Discussion: / Employees overwhelmingly asked for: walking trails, yoga, zumba, an outdoor relaxation area, and a break room.
Conclusions: /
Discussed Programming
Programming needs a strong staff which we don’t have, so we may need to outsource to vendors. Doing things in-house would be more challenging. Cost estimates in progress. Vendor could simplify things immensely for Wellness Coordinator. Question posed: Do our classes overlap with CE classes? Discussions about possible contractual caveat requesting chosen vendor hire our existing staff (ie our yoga instructor.) Some say it would simplify things for the vendor and others say it would be inappropriate. Agreed we can ask but not contractually obligate.
Action items / Person responsible
Work on Strategic Plan / Rebecca and Merrilee
Prep for Dec 19th visit to President / Rebecca and others
Agenda item: / Marketing and Communications Breakout Work Session
Discussion: / Newsletter:
Considerations- giving out incorrect information is something we should try to avoid at all costs.
Rebecca’s idea to use an existing newsletter that the state produces. Recommends further research on this.
Lara Niles found wellnessproposals.com . Produces a free wellness newsletter.
Name:Opinion seems to be that we should go through the suggestions and pick 5 names, and then send them out campus-wide for a vote.
Favorites include:
ACC Fit
ACC Wellness Program
ACCellerate to Health
ACCess Wellness
**Also, this would be a possible slogan: Start Here, Get There, Be Well.
T-shirt design ideas: ACC logo on front, with addition of “Wellness”, maybe with a stamped look
Mind – Body – Spirit on the back.
Cool idea for walking competitions: visual charts of how far each campus has walked, with little walking figures representing each campus and distance covered.
Action items / Person responsible
Suggested we make a “Coming Soon” announcement flyer for December. / Group
Agenda item: / Programming Breakout Work Session
Discussion: / The Group discussed having a structure that includes a volunteer Wellness Team Leader on each campus as well as a Wellness Specialist who does assessment and coaching. In addition this Wellness Specialist could possibly teach one of the fitness classes at the campus. A vendor would be hired to coordinate the Wellness Specialist and Fitness Instructors at each campus.
The group discussed the idea of having an employee pay initially for a class but be reimbursed if they attend 80% or more of classes. It was concluded that this goes completely against our charge and should not be pursued.
A long discussion ensued around how to track participation in classes and everyone agreed it should be the Instructor who hands in a report either to the Wellness Specialist or whoever we might hire to assist in program implementation.
We also discussed three types of classes: Mind/Body (yoga/pilates/tai chi), walking groups, higher level fitness. Such as aerobics or boot camp.
