ITSC continues to be your hub for the latest in technology support. To that end, accessibility to your safe and secure data is one of our top concerns. As such, we encourage staff to maximize Office 365 to its fullest, to include One Drive, your very own cloud storage. Here, you can access and safely store documents and files from any location, such as home, your mobile device or different sites. Set up is quick and easy- within minutes you can sync your files if you follow the steps outlined below.

Setting up your OneDrive on your local computer

All district computers should have OneDrive already installed on them to make the transition as easy as possible. What this process will do is create a folder called“OneDrive – Spokane Public Schools” on your local computer. Anything that is in this “OneDrive – Spokane Public Schools” folder will automatically start to sync to your OneDrive.

Click on this link to start the OneDrive process: \\C:\Program Files (x86)\Microsoft OneDrive\OneDriveSetup.exeClick Ok if the screen below pops up.

You will see the following screen:

After the above screen finishes, the following screen should pop up:

If the above screen doesn’t pop up, click on the gray cloud in the tray in the lower right corner of your computer. You will then get the above screen.

Enter you SPS email address. If prompted to pick Personal or Work or School, pick Work or School.

On the next screen enter your SPS email password.

On the next screen, accept the default location by clicking Next (Do not change it!)

The next screen is asking if you want to bring what is currently in your OneDrive down to your “OneDrive – Spokane Public Schools” folder. For almost all users, the answer is yes and it is selected by default. To accept the default, press Next.

Continue to click next or the arrow button until you reach the screen with open your “Open Your OneDrive Folder” button. Click the button. You have now installed the OneDrive Sync Client. The next step is to move all your files you want to keep into the “OneDrive – Spokane Public Schools” folder on your computer.

Navigating to your “OneDrive – Spokane Public Schools” folder

To navigate to your “OneDrive – Spokane Public Schools” folder, click on File Explorer button on you Task Bar.

On the left side, you will see a link to OneDrive – Spokane Public Schools with a blue cloud. Click on it and it will take you to your “OneDrive – Spokane Public Schools” folder. See below for an example of the File Explorer Window.

Moving your files

The best way to move your files will be to cut and paste into your “OneDrive – Spokane Public Schools” folder. To cut and paste, right click (alt click) the file or folder to bring up a menu and select cut. Navigate to your “OneDrive – Spokane Public Schools” folder right click in the white space in the window to bring up a menu. Select paste.

Do this for all the files you want to keep. To move multiple files or folders , hold the Ctrl key and click on all the files and folders you want to move. Then right click cut and right click paste, as mentioned above.

**The most important folders to consider backing up to OneDrive are Desktop, Documents, Music, Pictures, and Videos.

Verifying your files have successfully uploaded to OneDrive

Your files have finished syncing when your OneDrive folder shows a green checkmark next to it. You will see a blue sync icon on the bottom right hand corner of a file when syncing is still in progress.

If you see this icon or anything other than these two symbols, there may be an issue with your files synching to OneDrive. Most often this is due to special characters within the names of your files and folders. If your OneDrive is having issues syncing, please put in a ticket to ITSC for assistance.

  1. How long does this process normally take?
    Setting up one drive should take no more the 15 minutes to setup. After that, it depends on how many files you have to move into your “OneDrive – Spokane Public Schools” folder.
  2. Do I have to wait for my files to finishsyncing before I can use/edit them?
    You can still use all your files while they sync up to onedrive.
  3. Is it okay if my computer turns off while my files sync up to onedrive?
    Yes, if the computer turns off or loses internet connection while it is syncing files one drive it will resume where it left off when it turns back on or connects back to the internet.
  4. I’ve moved all my files into my “OneDrive – Spokane Public Schools” folder and now it won’t let me edit my word documents?
    In word, there should be a yellow bar along the top with a sign in button. Sign in with your SPS email and password and that should allow you to edit.

If the above doesn’t work, click on File > Account and sign out of word. You will get a prompt asking are you sure click yes. Then sign back in with your SPS email and password.
