TOUCHDOWN CLUBMEETING

July 28, 2016 Minutes

WELCOME AND APPROVAL OF MINUTES

  • Lisa Gerrish called the meeting to order at 7:10.
  • There were no Board Meeting minutes to approve.

TREASURER REPORT

  • Chris Todd reported a balance of $13,214.01 as of 6/30/16 AND $26,415.01 as of 7/28/16. The 2016-2017 budget is ready for a vote.

OLD BUSINESS

  • The 2016-2017 budget was presented by Chris Todd. The Board discussed it and it was approved unanimously.
  • Captain’s Camp went well today and the boys seemed to enjoy the beach volleyball tournament and lunch afterwards at Buffalo Wild Wings. There were approximately 60 boys in attendance.

NEW BUSINESS

  • Spirit wear sales are going well and the first online order should be here by the BBQ. Kelly ordered some extra merchandise to sell at the upcoming schedule pick up dates at FHS on August 9-10. Then any remaining merchandise will be sold at the BBQ on August 13. She asked for volunteers to help her sell at FHS on Aug. 9 from 8:30-10:30, 11:00-1:00 and 2:00-4:00 and on Aug. 10 from 8:30-12:00.
  • We voted as a Board and decided not to sell concessions this year at either the Ford or Toyota due to the number of restrictions. We will still sell at our Memorial game and at FHS games.
  • Lisa found out this week from Coach that we are unable to sell our program at the Ford due to an advertising agreement made with FISD. So, we will plan to sell the program at all games other than those at the Ford. We will also sell the weekly program insert with roster at all games including the Ford since it does not include any advertisements. Also we will look into selling the program online like the spirit wear. Because we actually lose money on the program (costs $15.66 to make and sells for $10), we may raise the price of the program to either $15 or $20.
  • Lisa is going to check into selling clear plastic bags to be used at the Ford to sell as an additional fundraiser at the BBQ.
  • Picture Day for the team is August 20. More details will come with specific times. We also agreed to try to take a Pink Out picture again for October’s Pink Out game insert.
  • Frisco Sports is offering a commemorative t-shirt for the August 27 game as a fundraiser. For each shirt sold online, TDC would earn $4. The shirts go on sale starting August 1 and will be available to purchase online for 2 weeks.
  • Crystal Brooks has been working on the Kickoff BBQ for 8/13. We will have Spring Creek BBQ and will cost $12/person. She is planning on 250 people but will give them a final count the week prior to the event. We will have tables set up for Check-in, Volunteers, Membership/Meals and Spirit Wear. We discussed making a checklist for people to make sure they checkout and pay at once for all items included. Crystal is contacting the cheerleaders and Stars to perform. She has also planned the raffle gift baskets. She will check into borrowing the cheer back drop and varsity jerseys for pictures. Volunteers will arrive at 1:00 to set up and decorate.
  • Jennifer Houghtlin will ask the McNutt family to host the 1st Varsity dinner, probably on Wednesday, August 24.
  • This year we need to look into insurance coverage for TDC and have included it in the budget for $500
