Booking Terms & Conditions / Deposit and Payment Accommodation: A non-refundable and non-transferable deposit of $200 per room is required to secure your booking within 7 days of submitting your booking form. Please ensure all spelling of names matches your photo ID. Final payment must be made no later than Friday 16th March 2018. Flights: Payment for Flight can vary between airline and itinerary. The Payment of your airfares may be required in full to confirm your arrangements. That will be advised at the time of booking.
Reservations: All reservations and payments will need to be completed before 16th March 2018. After that time Airlines and Accommodation providers have the right to reduce the number of seats and rooms being held and prices can increase. Any price increases after that date will be passed onto the Delegates. NOTE: Any rooms booked at the Oaks properties after 19th January are subject to change, availability and prices will be confirmed upon receiving your booking form.
Accommodation Price: The accommodation price is based on a per room cost. The total room cost can be divided between the maximum capacity in the room if you have someone to share with. Helloworld Travel cannot match up travelers to share rooms. If you are wanting to utilize the room on a sole use basis you will pay the full amount shown. Please ensure to request preferred bedding on your booking form.
A limited allocation of rooms is being held at each property. Please note your preferences on the booking form and availability will be confirmed once your booking form is received.
Special Requests: Specific requests such as bedding, adjacent rooms, seat requests on flights and special meal requirements can be made on your booking form. Please note, Hosted Journeys will do everything they can to accommodate your requests, however they cannot be guaranteed.
What’s not included: Items such as (and not limited to), laundry, phone calls, items of a personal nature, beverages, meals, excess baggage, optional excursions & travel insurance.
Airfare Conditions: Airfares are subject to availability at time of booking. Please note that once any payment has been made, cancellation fees will apply to all your travel arrangements and may be up to 100% of the amount paid. Taxes and fuel surcharges included are subject to change & additional charges may apply for alternate routes & airlines. Domestic fares include 23kg per person for checked in luggage and 7kg per person for hand luggage is permitted. International Fares can vary with Luggage allowance and will be advised at the time of booking.
Changes & Amendment Fees: If you extend or alter your holiday, a minimum fee of $35 per person per change is payable to Helloworld Travel to cover administrative & communication costs. This is in addition to any fees charged by airlines & applicable suppliers.
Refunds & Cancellation: Cancellation must be in writing & such notice is not effective until received by Helloworld Travel Mackay. Your deposit is Non-Refundable, Non-Transferrable. After final payment cancellations will be subject to cancellation fees at the discretion of the service providers.
Travel Documentation: Your documentation will be available approximately two weeks prior to your departure. Your dedicated consultant will contact you to finalise details on getting this documentation to you.
Travel Insurance / As strict cancellation and amendment fees apply to your booking you can purchase travel insurance to protect your money in the event of unforeseen circumstances. The cost of insurance depends on your age, the destination you travel to and the duration of your holiday. If you would like a costing for insurance, please let your dedicated consultant know. If you choose to go ahead with the policy, payment for the insurance must be received before it takes effect.
In making payment for your policy you agree to the full terms and conditions of the policy outlined in the Covermore Product Disclosure Statement. If you do not have a copy of the PDS please let me know. Should you have any pre-existing medical conditions it is important you have disclosed them as per the terms and conditions of the insurer. If you have not yet disclosed a condition it is important you do so immediately as this will be an exclusion on your policy. You will need to complete an online application in store. If you choose to make alternate travel insurance arrangements, any documentation required from helloworld, to make an insurance claim, will incur a handling fee of $200.
