Please read this Privacy Statement carefully. By completing an application and/or submitting personal information through our website, by telephone email or in another manner to Age UK Walsall in connection with your interest in volunteer opportunities, you consent to Age UK Walsall’s collection, processing and use of your personal information in accordance with Age UK Walsall’s general Confidentiality Policy and Procedure and this Volunteer Recruitment Privacy Statement.

Age UK Walsall is a registered charity and company limited by guarantee: Charity No: 518799; Company No: 2125693. The organisation is an independent charity but is affiliated, via a Brand Partnership Agreement, to the national organisation, Age UK.

We are committed to maintaining your confidence and trust with respect to the privacy of the personal information we collect from you. This Volunteer Recruitment Privacy Statement describes how we handle and protect your personal information in connection with the recruitment process.

What information do we collect about you?

The submission of your application and related personal information is entirely voluntary. When you contact us through our website or through other means in relation to volunteer opportunities with us, you will need to provide us with certain personal information which we will collect as part of the recruitment process.

This will include your name, postal address, email address, telephone number, date of birth, gender and ethnicity. Your personal information will be contained in our volunteer database (Charitylog) – a secure system only accessible to people working within Age UK Walsall, and onto excel spreadsheets that are password protected. Any further information received or sent in respect of your application will be kept securely in line with our Data Protection Policy and Procedure.

If your application is suitable and,in connection with the recruitment process or subsequent communications, (including for verification of identity), then we will ask you for additional personal information. This will vary depending on the volunteer role you are applying for.

How do we use your Personal Information?

We will keep the personal information about you on paper, in a computer database, and on encrypted excel spreadsheets. We will use and hold your personal information that you submit to us for the purposes of:

communicating with you (in writing, by telephone or via email) to evaluate your application

to manage the recruitment process for registering your interest in becoming a volunteer

to send you information about Age UK Walsall and any events that may be coming up.

to respond to your queries or requests;

to aggregate and anonymise your data so that we can analyseand understand the types of individuals that are interested in volunteering for Age UK Walsall. This data may be used to review and change our volunteer recruitment methods.

in other ways as required or permitted by law or with your consent.

How is Your Personal Information Protected?

We take protection of your personal information seriously and have implemented organisational and technical security measures to safeguard and to protect against unauthorised access to your personal information.

We will take all steps reasonably necessary to protect your personal information in accordance with the Data Protection Act (1998). We also restrict access to your personal information to only those individuals who need access to it for legitimate, operational purposes

Storage and Transfer of Your Personal Information

All the application information you submit to us is processed in and stored on a secure database, accessed via password protected entry.

By submitting your personal information to us, you agree that your personal information, in electronic and/or physical form, is stored in accordance with our Data Protection Policy. We will take all steps reasonably necessary to ensure that your personal information is treated securely and in accordance with this Volunteer Recruitment Privacy Statement.

As described above, we have certain security measures in place to protect the confidentiality of your personal information (such as firewalls to protect servers). However, we cannot control the protection and privacy of your personal information whilst it being transferred to us from your computer if submitting information electronically and similarly cannot control the security of information being posted.

Please note we expressly disclaim any liability and are not responsible for these transfer processes.

We will store your personal information for as long as it is needed for the purposes of your volunteer recruitment and any subsequent volunteering you deliver for us.

Disclosing Your Personal Information

We will not disclose your personal information to any third party prior to gaining yourexpress consent to do so.

We will never use your personal informationfor direct marketing purposes or provide your personal information to third parties for their direct marketing.

Your rights

You may request details of your personal information that we may hold. You may also request that it is corrected or updated or request details of the parties to whom it has been made available.

If you would like a copy of your personal information, please contact us at the address below. We may ask you to review and update your personal information.

If you make a request to delete your personal information or contact us at any time to inform us that you no longer wish to be contacted, we will complete this request within 5 working days of receipt.
