Job Purpose

Work with the Lead Volunteer Coordinator to implement Over The Wall’s volunteer recruitment plan to the highest possible standard providing support and guidance for all volunteers, and, ensuring a high level of retention alongside incremental increases in volunteer numbers.

Working closely with the Operations Team (both at Camp and office based) to provide leadership and support for volunteers, campers and staff ensuring a safe, challenging and fun experience for all involved. In the absence of Lead Volunteer Coordinator will be expected to take that lead role.

Reports to

Lead Volunteer Coordinator and, when necessary, the Camp Director or CEO.

Position Status

Full-time

The role will be based at our office in Havant, however there will be a requirement to attend and participate in our main camps as a key member of the Camp Management Team and attend volunteer interviews throughout the UK. Additional time off in lieu on top of Annual leave provision will be given for this commitment. There may also be opportunities for periods of home working.

Main Responsibilities

Volunteer Recruitment

●Work closely with the Lead Volunteer Coordinator, Clinical and Regional Coordinators to implement the volunteer recruitment process

●Request, assess and process volunteer applications, references and medical forms

●Assist Lead Volunteer Co-ordinator to target specific locations of the UK to recruit a broader spectrum of volunteer

●Co-ordinate OTW participation in targeted volunteer fairs throughout the UK

●Maintain relationships with volunteer recruitment organisations

●Assist in the further development of communication systems with volunteers

●Assist in the facilitation of interviews at different UK venues to assess volunteer suitability

●Assist in the management of the volunteer vetting process

●Assist Lead Volunteer Coordinator to maintain accurate records and data collection systems

●Help develop and grow the volume of volunteer applications

●Assist in the allocation of volunteer places ensuring that volunteer requirements are reached at each camp

●Assist in the management of the feedback process from volunteers.

Training

●Work with the Lead Volunteer Coordinator to develop the pre-camp online training module for volunteers

●Work with the Camp Support Team to design and deliver an informative, challenging, interactive and fun ‘All Camp’ training

●Design and deliver informative, challenging, interactive and fun ‘role specific’ training as identified by the Camp Director

Day to day running of Camp

●Be an energetic, enthusiastic and supportive member of the Camp Support Team helping to create and maintain a physically, emotionally and psychologically safe environment for all at camp

●Work closely with the Camp Support Team and Medical Team to manage the day to day running of camp

●Be present for all Camp Support Team meetings and other meetings as required

●Share ‘On-call’ responsibilities with the other Camp Support Team members

●Be a positive role model to all campers, volunteers and staff

●Assist volunteers with camper behaviour support issues where necessary

●Assist in volunteer issues/conflicts as appropriate and/or directed by the Volunteer Co-ordinator and/or Camp Director

●Ensure integration of all staff and volunteers

●Ensure the Camp Director and Med Team Leader are kept informed of all incidents and that all relevant reports are completed appropriately

●Ensure ongoing improvement and development of the camp programme based on feedback from staff, volunteers and campers

Safety

●Promote and encourage a strong culture of safety at Camp

●Assist in the co-ordination of emergency procedures

●Ensure that all volunteers are familiar with safety procedures and protocol in activities and around camp

●At the end of each camp, participate in a session review to identify areas for improvement and highlight successes

●Bring any safety concerns to the attention of the Camp Director

Communication

●Liaise with the Lead Volunteer Co-ordinator and Camp Director to ensure other staff members have all the information they require, e.g. CEO, finance, fundraising, regional co-ordinators, clinical co-ordinators

●Provide session reports and seasonal report as required.

Other

●Work closely with the Lead Volunteer Coordinator to manage the volunteering budget

●Work closely with the Camp Support Team, Fundraising team and Regional Co-ordinators to host visitors on site.

Undertake any other duties as deemed appropriate by the Lead Volunteer Co-ordinator, Camp Director and/or CEO that may be required in accordance with the overall purpose of the job.

Abide by and comply with all OTW policies and procedures, especially relating to individual areas of responsibility.

Person Specification

ATTRIBUTES / ESSENTIAL
QUALIFICATIONS / Substantial practical experience in volunteer/community development and/or administrative support.
SPECIALIST SKILLS & EXPERIENCE / Excellent written and verbal communications skills.
IT literate.
High level of administrative skills.
Customer Service ethos.
Understanding of Child Protection issues (specialist training with the NSPCC will be provided).
Working knowledge of Health & Safety regulations.
Able to compile statistical reports.
PERSONAL QUALITIES / Friendly, outgoing nature.
High energy levels and team player.
Ability to motivate volunteers.
Self-motivated, able to work under own initiative to deadlines, and to deal with a broad range of issues.
Must have a positive attitude to making changes where necessary to improve efficiency and performance.
Practical problem solving approach and interpersonal
skills.
