1.0Approval of Previous Meeting Notes

  • Approved

2.0Updates from Subcommittees & Groups

3.1 University Sports Facility Scheduling Group:

  • Volga is working on a draft for scheduling guidelines. The group is meeting on Monday, November 14.

3.2 Campus Landscape & Tree Advisory Committee Report:

  • The committee met on November 2
  • Discussed and reviewed some current tree/vegetation management issues (i.e., tree limb breakage at Founder’s Hall; diseased tree in Founders Hall courtyard; and also some vegetation trimming in that area of campus).
  • Also discussed removal of hedge around west and north sides of campus events field
  • Also discussed current major tasks planned for FY16/17… the work the group will be making progress on in addition to things that come up. The list includes update of the campus standard plant list, finalizing the campus landscape maintenance level designations and map, recommendation of the annual tree maintenance plan and project scope, development of an integrated pest management plan, and discussion/recommendation of objectives for redevelopment of the LK Wood Median (for future turf removal).

3.3 Facility Naming Committee Report

  • No update

3.0Secure Spaces Physical Access Policy – Josh Callahan reviewed the following:

  • A secure spaceis a campus physical space for which all access needs to be explicitly authorized, and therefore cannot be accessed with a campus master key. Typically this is due to a legal or policy requirement to restrict the space, such as: storage of information assets, regulated medication, or criminal evidence. Such areas would include data centers, the University Police Department, Academic Personnel Services/Human Resources, the Health Center, and the President and Provost’s suites.
  • A Secure Space Steward: A designated MPP in the department assigned responsibility for a given Secure Space or their designee.
  • HSU Secure Space Access Common Procedure – serves as a common set of access procedures for university service personnel with business needs to enter a defined secure space.
  • The following roles typically have business needs to access Secure Spaces and individuals holding them will be authorized by the Space Stewards for access upon completion of requirements.

Facilities Trades Staff

Facilities Trade Managers and Space Analyst

Inventory Control Analyst

ITS Network Analysts

ITS System Administrators

Sworn Public Safety Officers

  • Secure spaces should be clearly marked

4.0Request to Revise Existing Space within Chemistry, Physics & Astronomy in Science A

  • Josh Smith reported that his Department is getting 3 new faculty.
  • Josh requested to convert 466B from a storage room to room that can hold between 5 to 10 students.
  • Josh requested to convert 466A from a dark room (Teaching laboratory service) to a research lab for Physics and Chemistry. Improvements would include: lighting, painting, remove anti-wall, cabinetry moved and repurposed.
  • 466C is currently an optics space. This could be made into a computer room.
  • One idea is to flip 466B and 466C because optics table is heavy.
  • 559B on the fifth floor is used be Chemistry and needs to be a metal free room. Change to research lab. Funding would come from CRNS.

5.0 Kinesiology & Recreation Administration Re-Use of Vacant Space at Forbes Gymnasium Convert to 2 offices and common meeting space.

Rockreported oncompeting demands such as athletics, rec sports, and community events.

  • Used 7 days a week
  • 600+ students in Kinesiology
  • 120 class sections
  • Need space for growth
  • Rock and Liz reviewed current use of Forbes Gym 148, 149, 153, and 158
  • Chris Hopper stated that Kinesiology is growing and there is a need for hands-on experiential learning.
  • 250C is an office with two desks
  • Concussion Lab includes 254B, 257, and Observation Room in KA Arena
  • There is a classroom behind Natural History Museum for high school concussion program.
  • Need to look at how this coordinates with football. Invite Tom Trepiak to come and present.
