OPERATING PROCEDURES

The After School Club was set up in 1996 and is run by suitably qualified and experienced childcare staff. A Management Committee of volunteer parents oversees the running of the Club.

The aim of the Club is to provide a safe secure environment for children whose parents require high quality but affordable childcare during the hours the club is open. The Club also aims to provide children with a varied and stimulating programme of activities which is responsive to the interests of each child, and will allow for periods of quiet and an opportunity to do homework when appropriate. A light snack will also be available.

·  The Club is registered by Care Inspectorate and inspected on a regular basis

·  The Club is insured for Employer and Public Liability

·  The Club is a member of the Scottish Out of School Care Network, Play Scotland and LAYC

The Management Committee set all the rules and regulations of the Club and the charges made. It has also drawn up a series of policies and procedures, including staff employment; discipline; open access; hygiene; health & safety; confidentiality; child protection; complaints. These are available for inspection on request.

MAXIMUM NUMBER OF CHILDREN

The maximum number of children attending on any day is fifty, forty children on a Friday.

AFTER SCHOOL CARE HOURS & HOLIDAY COVER

Full-time (5 days per week) and part-time places (2, 3 or 4 days) are offered. The Club operates on some in-service training days (not January or August). Holiday cover is provided during the February break, Easter, middle three weeks during the summer and the October week.

P1 - P3

Teachers are given a list with the names of the children who will be attending the Club and on what days. They then know to line these children up at the internal door at the end of the school day. After School Club staff collects P1 and P2 children.

P4 - P7

Children from 5 to 12years are cared for in the Dining Hall of Trinity Primary School between 3.15pm and 5.45pm. Children must be collected by 5.45pm, 5.30p.m on a Friday or a late collection fee will incur.

AFTER SCHOOL CARE STAFF

The Club is staffed by a Manager, Senior Playworker and three Playworkers. All are registered with SSSC, PVG checked and have a broad range of experience of working in play settings.

AFTER SCHOOL CARE RESOURCES

Resources include games, puzzles, books, toys, TV and DVD player, computer games and sports equipment. There is also a wide range of arts and crafts; from clay work to screen printing. Baking and cooking are also popular activities. The Club has access to the gym, adjacent to the Dining Hall, when it is not in use, where we play uni-hoc, football, parachute games to name a few. We also have use of the school playground and secret garden where we have built an eco greenhouse so we can grow our own fruit and vegetables. Appropriate local outings are also organised, usually on Fridays. We regularly visit Laverock House Care Home where the children take part in activities with the residents such as domino competitions, "dookin'", playing games. The emphasis is on the children having fun and their own ideas are always taken into consideration.

The programme of activities will not include those which, in the opinion of the Manager, are dangerous, encourage or condone racism or sexism, or are in any way offensive, either to the children or parents.

FEES
Full-time Place:

1st child £42.10

2nd child £39.60

Part-time Place:

1st child £7.30 per day Mon-Thurs; £12.90 Fridays

2nd or third child £6.95 per day Mon-Thurs; £11.80 Fridays

Holidays

£20.40 for a full day (8.30 am to 5.30 pm); £12.40 for a half day.

Subsequent children are £18.40 for a full day; £10.40 for a half day.

Family Membership

Parents are required to pay an annual registration fee at the beginning of the Autumn term of £20.

Prioritizing Places

The order we prioritize places are as follows:

·  Application for siblings of children in the After School Club

·  Existing users of the After School Club applying for more days

·  Full time application

·  Existing users of After School Club applying to change days

·  Application from people who were unsuccessful last term

·  Application for four days

·  Application for two or more in a family

·  Application for three days

·  Application for two days

·  Application for one day

Where more than one family is on the waiting list for a place Monday to Wednesday, for example, and a place becomes available; priority will then be given by the date the family applied.

We have membership with a few childcare voucher schemes such as Accor, Care 4 and Busy Bees. If you are interested in paying by this method please contact me for further details.

APPLICATION FORMS

If you would like to apply for a place(s) for your child(ren), please complete the application. There are 3 forms to be returned to the after school club for your application to be processed.

Complete the Registration form if you would like care for your child up to 5.45pm, Consent Form & also that you have accepted the Terms & Conditions.(form 3)

Places cannot be automatically guaranteed as the staff to children ratio is maintained at 1 adult to 10 children (1 adult to 8 children on a Friday).

However, we will make every effort to fulfill your childcare needs as soon as possible.

Please note that new P1 children starting in August will only be able to join the After School once they are attending full days at school.

TRINITY AFTER SCHOOL CLUB

TERMS & CONDITIONS (Form 3)

1.  Hours of operation are 2.55 to 5.45pm Monday to Thursday; 12.25 to 5.30pm on Friday.

2.  Parents will be expected to sign their child out when they come to collect their child. All children should be collected by 5.30pm on a Friday, 5.45pm

3.  Children can only be collected by a parent or guardian or other named person.

4.  An annual subscription fee of £20 is payable.

5.  Fees will be payable monthly in advance. These will be reviewed annually before the start of a new school year.

6.  No reduction in fee can be made for days a child is absent.

7.  The Management Committee reserve the right to alter the fees as required. Parents will be advised accordingly.

8.  The Club will have the use of the Dining Hall, Gym when available and playground..

9.  School equipment cannot be used. All resources will be provided by the Club.

10.  A light snack will be provided during the afternoon. Children attending on Friday should bring a packed lunch.

11.  Insurance to cover Public Liability, Personal Accident and Travel will be arranged by the Lothian Association of Youth Clubs.

12.  Suitably experienced staff will be employed.

13.  If your child is ill, they must not attend the after school club.

14.  If your child becomes unwell whilst in our care, we will phone you to agree a time to collect them.

15.  Please inform us if your child has been ill while they are away from after school club.

16.  If your child has had symptoms of vomiting or diarrhoea (or both), it is essential that they do not attend after school care until 48 hours after the symptoms have stopped.

17.  If you are not sure, please phone us before you bring your child to after school club.

18.  Parents will be encouraged to liaise closely with staff, attend our AGM and serve on the Management Committee.

19.  Parents must inform the Manager if a child will be absent.

20.  If there are more applicants than places, priority will be given to parents returning to or in full or part-time work or education.

21.  Two weeks notice will be required by either side to terminate a place in the Club or to delay the start date

As a regular part of your child’s involvement with the After School Club, he/she may take part in a range of activities outwith the club’s premises. These will include activities in the school playground, Victoria Park , Park Road Park & visits to Leith Library and Laverock House Care Home.

MEDICAL AUTHORISATION

In the event of illness or accident during the time whilst in the care of the club, I authorise you as a responsible member of staff to sign on my behalf any written form or consent required by the hospital authorities, if the delay required to obtain my signature is deemed inadvisable by the doctor concerned, in terms of administering any medical, surgical or anaesthetic treatment to my child.

Photograph/Video Consent

I give my consent for my child(ren) to be photographed and videoed during outings, activities, drama, celebrations etc. in the understanding that these will be used for After School Club purposes only.

DECLARATION

I undertake to supply any tablets, capsules or other medication prescribed by a doctor for my child, along with precise written information concerning dosage, possible effects etc, to the Manager when my child will require medication during the time he/she is in the care of the club. I further undertake to inform the Club if my child has recently been in contact with any infectious diseases.

I have understood the above sections and hereby give the relevant consent and authorisation for the period from the date of signing until my child(ren) cease(s) to attend the Club, or until the consent is withdrawn in writing. I do not wish my child to ______but give consent and authorisation for all other purposes.
