Cricklade ShowTRADE AND CRAFT STAND CONDITIONS

1.Applications

All applications must be submitted on the application form, which must be signed by the exhibitor or their representative, such signature being an acceptance of the conditions. Remittance for all charges must accompany the application form.

2.All entries are subject to availability and late applications will be considered on an individual basis and subject to the show committee’s discretion.

3.All applications for space are accepted at the exhibitor’s own risk as respects loss or damage before, during or after the show however so caused.

4.The show committee reserves the right to restrict the number of exhibitors displaying similar products. Allocation will be in order of receipt and payment.

5.Allocation of Sites

The Committee reserves the right to determine the area and position of sites. Space allocated is for the sole use of the applicant. Exhibitors may not sub-let space allocated to them or move to any site other than that allocated.

6.Size of Site

Exhibitors booking open space must apply for and pay for sufficient space to accommodate their stand and allowance must be made within this for any structure, stay, vehicle, guy rope etc.

7.Signs and Advertising

All exhibitors must clearly display a sign bearing the correct trading name used at the time of booking.

No exhibitor or other person shall be allowed to affix any placard or advertisement within the show ground or car park unless permission to do so has been granted by the Secretary prior to the show. The distribution of handbills or display advertisements or leaving such items on unattended vehicles in car parks is not permitted and anyone found fly posting will be liable for the cost of litter removal.

8.Sale of Food

The sale of food from a stand is not permitted on the show ground without written permission from the Secretary prior to the show. The giving away of free samples is permitted.

9.Timetable

All trade stands must be complete and open for business by 9.30 am and must remain open and manned until 4.30 pm.

All sites must be cleared at the end of the show and litter deposited in the bins on the show ground. Structures must be removed from the show field by the day after the show and in the event that this is not the case, the show committee reserves the right to clear the show field and charge the exhibitors for the cost of the removal and disposal of any such items remaining.

10.Security

The Committee does not accept any responsibility whatever for the safekeeping or security of the property of the exhibitors or their agents. Exhibitors should have appropriate insurance cover.

11.Damage

The Committee will not be held responsible for damage caused to sites by a third party during

the show period and will not undertake to make good any such damage.

12.Noise

Exhibitors must not use public address systems on their sites, noisy engines or generators or adopt any offensive practices which cause annoyance to adjoining exhibitors.

13.Livestock on Trade Stands

If livestock form part of the exhibit, full details must be given with the application for space and exhibitors must ensure that they comply with DEFRA, veterinary and other regulations which apply to animals brought to the show ground. Details must be provided to the Secretary and the DEFRA show co-ordinator C J C Graham.

14.Access and Vehicles

On show day, no vehicles will be admitted to the show ground without a clearly visible exhibitor’s car pass label. Vehicles are to enter the show ground as directed. No vehicle will be admitted after 9.30 am and before 4.30 pm on show day. Vehicles remaining on the show ground after 9.30 am on the show day must be parked within the area allocated for the trade stand or in the designated parking area.

15.Fire and Safety Precautions

All stand holders, exhibitors and contractors should assess all risks relating to their stand and complete the attached risk assessment form, which must be returned with the application form and payment. This is to comply with HSE regulations.

All exhibitors are strongly advised to insure against fire and to comply with current legislation regarding fire safety. If an exhibitor considers that he or she has a fire risk, he/she must have a suitable fire extinguisher(s) in working on order on their stand.

16.Machinery in Motion

Exhibitors must comply with all necessary safety regulations concerning the operation of engines and machinery. Exhibitors with plant and machinery in use on their sites will be responsible for the safe running of the equipment and must ensure that working machinery is not accessible by the public.

17.Liability

The show committee will only be responsible for death, injury, disease, damage or loss caused to any exhibitor or their servants or agents or to any exhibit, plant, machinery, article or thing brought onto the show ground by the exhibitor where negligence against them is proven. The exhibitor shall indemnify the committee against all claims, losses, damage and expenses arising from their participation in the show. The committee will in no case accept liability for any loss or damage whether direct or indirect arising from or caused by the abandonment or cancellation of the show. Exhibitor are required to have appropriate insurance cover.

18.Cancellation

The following applies in the event of cancellation:

(a)If cancellation occurs by the exhibitor for whatever reason, all fees paid shall be forfeited.

(b)In the event that a booking is cancelled by the show committee, then the compensation due to the exhibitor will be the refund of the booking fee paid by the exhibitor, in respect of that which has been cancelled.

(c)In the event that the show is cancelled prior to the day scheduled for the show, for whatever reason, there will be a refund of 50% of the booking fee only.

(d)In the event that the booking is cancelled by the show committee as a direct result of a breach of the trade stand and craft conditions, there will be no refund.

19.Interpretation of Regulations and Conditions

The decision of the officials of the show committee shall in every matter arising in connection

with the show be final.
