Tracking Performance Reviews in Asperin

Asperin will now allow you to track performance reviews conducted in your department In order to monitor compliance with the requirement that all employees be reviewed once a year, FAS H/R is requiring that all departments use this screen to record employee’s last review dates.

Form Location: Actions-- Department -- Performance Mgmt.

Who is included: The screen includes all staff including LHTs (less than half-time) in a department. It does not include temps, students or researchers.

Mandatory Fields:

Current Review Date: fill in the date that you reviewed the employee or have scheduled the review (if in the near future). Note that after you submit the form, the date you enter will be listed as “last review date” and the current review date will be empty – ready for the next entry.

Reviewer: Click the magnifying glass icon to select the person who is doing the review. This field will be defaulted to the person who last did the review (if recorded) or else to the supervisor.

Optional Fields:

Job Description: It is important to have current job descriptions for all employees so that expectations are clear. The performance review is a good time for them to be looked at and revised if necessary. Click on the job description link to bring up a pop-up window where the description can be edited. (This is the same field as is accessed on position edits).

Supervisor: This is the same field as is accessed on position edits.

Next Review Date: If you plan to review everyone in a specific week, or on a yearly basis, then you don’t need to enter a next review date. On the other hand, if you want to track the 3 month review of a new employee, or have some employees on more frequent review than others, then simply fill in the next review date. By default, the screen comes up showing you anyone whose next review date falls in the next month.

Notes on Scheduling: This allows you to make notes to help explain the scheduling of reviews either as reminders to yourself, or to clarify for FAS H/R when they are monitoring that reviews are being done. (For example, you could enter "Review delayed because of employee leave"). This field should not be used to hold notes on an employee's actual performance.

Filtering and Sorting the List:

You can filter the list of positions that appear on the screen using the pull down options at the top. By default the screen shows people who will need reviews in the next month. That is, they have not been reviewed in their current position in the last 11 months or you have indicated that their next review should be in the coming month. If you review people on a six month basis, set the pulldown to search for no review in the last 5 months and click the redisplay button. If you want to see all employees regardless of their review dates, you can click the “show all” button.

A number of different sorting options are offered: review date, supervisor, reviewer, employee last name, or expected next review date.

Saving your work:

Be sure to click the SAVE button at the top or bottom of the screen in order to save your work. The CANCEL button will revert all changes since the last save.
