JOB TITLE: Receptionist

STATUS: Non-Exempt

DEPARTMENT: Administration

RESPONSIBLE TO: Administrative Operations Manager

Job Summary:

Provides primary reception duties for Tompkins Community Action. Works with visitors, consumers, and staff to provide courteous and efficient assistance for telephone callers, walk-ins, and guests. Provides clerical support to agency staff, as directed.

Job Duties:

1. Greets agency visitors and directs to proper office or waiting area. Observes all applicable security measures, including making sure staff, guests, and clients sign-in/out of the building and maintains a record, making appropriate announcements to those being visited, and getting needed information from visitors. (Daily)

2. Answers phones, routes calls to proper extensions, takes accurate messages, and maintains the cleanliness of the front office and the lobby. (Daily)

3. Receives incoming mail and/or packages, including those sent by fax or special delivery systems, such as FedEx, USPS, etc., and distributes to appropriate mailboxes and/or promptly notifies addressees/recipients; operates stamp machine for outgoing mail, including determination of proper postage, making charges to appropriate departments, and completing necessary paperwork for payment. (Daily & Monthly)

5. Receives cash/checks payable to the agency and issues receipts and makes copies of receipts and all accompanying documents for Finance staff. (Daily)

6. Acts as a hub of information for staff who may ask customers to leave things with the receptionist desk, makes copies of required documents for clients, or has them complete information before going to another area. (Daily)

7. Performs clerical tasks as assigned by the supervisor. May occasionally relieve or provide clerical functions in other areas of the agency. (Seasonal)

8. Other duties and responsibilities may be assigned as situations dictate.

Required Knowledge, and Abilities:

1. Basic knowledge and understanding of standard office policies and procedures.

2. Skill with answering a multi-line telephone system in a busy office.

3. Some computer knowledge; experience with Microsoft Office and/or other data processing software.

4. Neat appearance, good telephone presence, and clerical aptitude.

5. Good interpersonal and organizing skills.

6. Good oral and written communication skills.

Minimum Qualifications:

1. High school diploma or G.E.D. required, plus two years of office experience, one of which must include public contact.

2. Valid driver’s license that meets agency insurability criteria and access to a reliable transportation.
