Overview of role
To provide PA support for the Director of Clinical Services
To provide effective and efficient administrative and receptionist support to the Pace Child & Family Therapy Service.
To provide administrative support for training undertaken by Clinical staff
Key responsibilities and duties
- To provide secretarial and administrative support to the Director of Clinical Services
- To respond to and co-ordinate referrals/enquiries to Child & Family Therapy Services via telephone, website and written enquiries.
- To be responsible for the efficient booking of sessions for parents/children in liaison with therapy staff.
- To meet and greet new parents attending a session in line with agreed procedures.
- To ensure that all admission paperwork and assessment reports are completed in a timely manner and are circulated appropriately in line with the SEND Code of Practice and Procedure.
- To circulate information to all stakeholders as required; parents, staff, publicity etc.
- To compose and type general correspondence as advised by the Director of Clinical Services.
- To organise the Director’s diary and arrange appointments as and when convenient.
- To advise the Director of impending work deadlines for both internal and external commitments, e.g. reports, presentations, conferences, projects
- To ensure that information about PACE Child & Family Therapy Services on Pace website, Buckinghamshire Family Information Service website, Local Offer etc, is updated regularly.
- To take minutes at Child & Family Therapy Services meetings and circulate as required.
- To input data on to PACE database for research and record keeping purposes in line with PACE procedures.
- To liaise with Pace finance department regarding invoicing of parents for therapy sessions.
- To administer and support the co-ordination of PACE training courses for therapy staff and activities for both PACE therapy staff and external delegates
- To promote the good name of PACE generally and appraise others of its philosophy, practice and fundraising objectives.
- To act in such a way as to ensure both your own safety and that of fellow users of the Centre.
- To undertake such other duties as may reasonably be expected by your line managers
- To comply with all PACE policies and procedures.
