JOB TITLE: Secretary

SCHEDULE: Part –TimeNon-Exempt

REPORTS TO: Office Manager

JOB RESPONSIBILTY: To support Bethany Church’s mission to Love, Obey and Proclaim Jesus Christ. It does so by being flexible to meet priorities and handling multiple projects simultaneously. Must display dedication, enthusiasm, commitment and confidentiality.

JOB PURPOSE: To enable the Church office and leadership to operate smoothly and to accomplish aggressive goals byproviding administrative support toPastors and Ministry Staff throughclerical activities.

JOB DUTIES:

1.Handle incoming phone calls.

  1. Answering basic questions
  2. Screening calls
  3. Takes messages as required.

2.Ensure daily delivery of outgoing and incoming mail.

  1. Knowledge of basic bulk mailing
  2. Knowledge of postage machine

3.Maintains scheduling calendar.

  1. Knowledge base of CDM+
  2. Schedule meetings and make appropriate room reservations including necessary equipment

4.Operation of Office Equipment

  1. Knowledge of use
  2. Maintenance schedule

5.Composes and types a wide variety of correspondence.

  1. All work is neat and conforms to standard office format
  2. All assignments are completed within the requested time frame and with minimal supervision.
  3. Prioritizes work accordingly.
  4. Maintains neat work area

6.Office Software/Programs

  1. CDM+, Microsoft Word, Excel and Publisher
  2. Main Data Entry Person
  3. Collects and complies data in a timely matter
  4. Analyzes data accurately
  5. Produces timely reports
  6. Cross-trains other support staff
  1. Cross-Trained Data Entry People
  2. Be able to access program and extract information needed
  3. Be able to input corrected information into database
  4. Have knowledge to produce report if necessary

7.Assists in maintaining office inventory and monitoring office supplies.

8.Assists in gathering information and maintain church records.

  1. Attentive to recordkeeping and required paperwork
  2. Files material in a timely and organized fashion so material can be easily retrieved when needed
  3. Maintains tickler files of projects and timetables.

9.Anticipates the needs of the Ministry Staff/Church Calendar (Events) in all instances and takes the initiative to independently prepare/collect all necessary documents.

10.Make recommendations for changes and/or improvements in office systems, working conditions, equipment and supplies.

11.Assumes additional responsibilities as required.

JOB REQUIREMENTS:

1.Minimum high school diploma

2.Minimum of 3-5 years of administrative/clerical experience required; experience in Christian ministry work environment preferred.

3.Strong interpersonal and organizational skills

4.Effective written and oral communication

5.Action-orientation and self-starter with good time management

6.Ability to relate to a wide variety of personalities and styles, while maintaining a positive experience and “customer focus” for the other person

7.Computer proficiency, with Microsoft Office experience

8.Ability to define and run basic database queries and other reporting skills.

9.Understanding of and ability to operate and generally manage office equipment such as copiers, folders, faxes, printers, etc.
