Creating a New Contact Group /

If you regularly send email messages to the same group of people, it would be beneficial to create a Contact Group. This will enable you to insert just the name of the group into the To field of an outgoing message, rather than each individual person’s email address.

To create a new Contact Group in Microsoft Outlook 2010, follow these suggested steps:

1.From anywhere in Outlook, press SHIFT and CTRLand L. Upon doing this, theNew Contact Groupdialog box will be displayed. Focus will be in an edit box labelled Name.

2.Type a meaningful name for the Contact Group.

3.Press ALT to move focus to the upper part of the Office Ribbon.

4.Press RIGHT ARROW or LEFT ARROW until the Contact Group tab is selected and then press TAB to move focus to the lower part of the Office Ribbon.

5.Press TAB until the Add Membersbutton is selected and press ENTER. Upon doing this, a dropdown menu will be displayed consisting of options from where you would like to add the members from.

An alternative method of choosing an option from the Office Ribbon is to press a sequence of keystrokes. The sequence of keys to press to quickly display the Add Membersdropdown menu are as follows:

ALT followed by H then T.

6.Press DOWN ARROW or UP ARROW until the Address Book option is selected and press ENTER. Upon doing this, the Add Members dialog box will be displayed.

7.In the Add Members dialog box, focus will be in an edit box labelled Search. Press SHIFT andTAB to move the selection cursor to a group of radio buttons. The first one should be called More Columns. Press DOWN ARROW to select the other radio button, called Name Only.

Note: A quick way to select the Name Only radio button is to press the shortcut key ALT and N.

8.Press SHIFT and TAB until you come to the Address Book combo box. Here you can choose to show names from either your Global Address Book or from your Contacts list. Press DOWN ARROW or UP ARROW until you have selected the desired option.

9.Press TAB until you come to the list of available names. JAWS will say "Extended select list box". You can now explore the list of names using DOWN ARROW or UP ARROW.

10.To add a name to the Contact Group, press ENTER on the selected name. To add another name, simply select it in the list and press ENTER again.

Continue selecting names and pressing ENTER until you have selected all desired names for the Contact Group. Then press ENTER again to close the Select Names dialog box and return focus to the Contact Group window.

11.Finally, press ALT and S to activate the Save button and close the Contact Group window. The Contact Group will now exist in your Contacts folder under the name you specified!
